About the role
Mater Private Hospital Rockhampton is seeking a dedicated and detail-oriented Health Records Scanning Officer to join our Medical Records team in a full-time, maximum-term contract position (38 hours per week) from August 2026 to February 2028.
This is an exciting opportunity to play a vital role in supporting patient care by ensuring health information is accurately digitised, securely managed, and readily available within Mater’s digital health record system. Working within a collaborative healthcare environment, you'll contribute to the efficient management of clinical information that supports quality care across the hospital.
Salary range: $32.02 - $37.35 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
As a key member of the Health Records team, you will support the accurate and timely processing of patient information through a range of document management activities.
You will:
- Prepare, scan, quality check and process physical and digital health records into Mater's electronic record systems
- Manage high-volume documentation, including patient records, referrals and clinical correspondence
- Receive, track, batch and organise documents throughout the scanning workflow
- Verify patient and encounter information to maintain data accuracy and record integrity
- Conduct quality assurance checks to ensure scanned documentation is complete and compliant
- Assist with document retrieval, record tracking and health record retention activities
- Prioritise workloads to meet operational requirements and service delivery expectations
- Maintain strict confidentiality and adhere to privacy and health information management policies
- Collaborate with clinical, administrative and clinical coding teams to support timely access to patient information
- Contribute to continuous improvement initiatives and support broader Medical Records operations as required
About you
You are a highly organised and reliable administration professional who thrives in a fast-paced environment and takes pride in producing accurate, high-quality work. You understand the importance of confidentiality and enjoy working as part of a team that supports essential healthcare services.
To be successful in this role, you will have:
- Previous experience in high-volume document management, records administration or scanning environments
- Administration experience within a hospital, healthcare or medical setting (highly regarded)
- Strong attention to detail and a commitment to data accuracy
- Excellent organisational skills with the ability to manage competing priorities
- Experience working with electronic records or document management systems
- Strong computer literacy and confidence working across multiple systems
- Well-developed communication and interpersonal skills
- A proactive approach to problem-solving and continuous improvement
- The ability to work independently while contributing positively to a collaborative team environment
- A commitment to maintaining privacy, confidentiality and compliance standards
