About the role
Proactive Health is looking for an experienced healthcare administrator to help run the day-to-day administration across our allied health clinics.
This is more than a reception role. You will support clients and clinicians, manage bookings and referrals, follow up new enquiries and help ensure the administration function runs smoothly across the business.
The ideal candidate will have at least two years of healthcare administration experience, strong phone skills and experience in sales, enquiry conversion or client follow-up.
You will be based at our Para Hills clinic while supporting a team across seven South Australian clinic locations.
Key responsibilities
- Answering phones and responding to client enquiries
- Promptly following up new leads, referrals and missed calls
- Using provided call scripts to help convert enquiries into bookings
- Managing appointments, cancellations, recalls and rebooking
- Processing referrals, invoices, payments and funding documentation
- Supporting clinicians and other clinic locations by phone and email
- Coordinating tasks with our virtual and remote admin support
- Identifying incomplete tasks and following them through
- Improving admin processes and workflows
- Meeting and greeting clients
- Maintaining a professional and welcoming clinic
- Vacuuming, mopping and cleaning bathroom facilities when required
- Assisting with other reasonable duties as business needs change
About you
You will ideally have:
- At least two years of healthcare, medical or allied health administration experience
- Experience in sales, customer service or converting enquiries into bookings
- Confidence making and receiving phone calls
- The ability to follow call scripts while communicating naturally
- Strong organisation and attention to detail
- Excellent written and verbal communication
- The ability to work independently and take responsibility
- A calm and professional approach when things get busy
- The ability to adapt quickly when priorities change
- Confidence using Google Docs, Google Sheets and online systems
- A willingness to assist with general clinic presentation and cleaning when required
Experience with Halaxy, Medicare, DVA, NDIS, Support at Home or private health insurance would be highly regarded.
