About the Role
A Melbourne-based commercial laundry business is being established, and we're looking for a capable bilingual Operations & Project Assistant to support the project execution.
The project is privately funded and fast-moving. This role will work closely with the founder, key decision-makers and specialist advisors, to coordinating the day-to-day and acting as point of contact with external stakeholders (agents, councils, utilities, suppliers, contractors and consultants).
We're looking for a proactive, organised problem-solver with strong communication and coordination skills. You'll manage multiple workstreams and gain hands-on experience across property, suppliers, approvals and operations.
KEY RESPONSIBILITIES
The role focus is execution and coordination. Day to day, that means:
Site & Local Coordination
- Help shortlist factory options against our site criteria, and prepare clear comparisons
- Liaise with commercial real estate brokers, arrange inspections, and follow up on property questions
- Gather information on zoning, access, power, water, drainage, loading and parking and coordinate with councils, utilities and consultants as needed
Project Coordination & Documentation
- Prepare meeting notes, action lists, timelines, spreadsheets and reports
- Track deadlines and keep external parties moving to schedule
- Organise quotes, forms, permits and correspondence, and support approval and compliance paperwork under the guidance of the founder and consultants
- Keep project information orderly and easy to find, so nothing slips through
Supplier & Contractor Coordination
- Approach equipment suppliers, installers and service providers, and gather the options
- Compare offers and organise the key commercial and operational details for the team's decision
- Coordinate meetings, site visits, delivery schedules and follow-up actions
Bilingual Communication
- Make sure nothing is lost between Mandarin and English, translating, summarising and organising information across both
- Handle correspondence, calls and meetings in either language, and produce clear written summaries
- Represent the team professionally and precisely with external stakeholders
Operations Setup Support
- As the project progresses, help stand up what's needed before launch., including early hiring, supplier lists, standard operating procedures and other preparation

You follow up without being much reminded, turn instructions into practical steps, and keep information organised so decisions can be made quickly. Stay composed as priorities shift.
QUALIFICATIONS
You must have:
- Fluent Mandarin and English, both spoken and written
- Valid Australian work rights and the ability to work full-time in Melbourne
- Strong organisation and attention to detail
- Confidence to make calls and follow through with external stakeholders
- A valid driver's licence and reliable transport, able to attend meetings across different locations
- Familiarity with Microsoft Office 365 or similar tools
Nice to Have
Experience in any of the following will be highly regarded:
- Manufacturing, logistics, warehousing, industrial operations, or project coordination
- Commercial or industrial property
- Supplier management, procurement, or quote comparison
- Small-business setup or start-up environments
- Bilingual coordination, executive assistant, or operations support roles
What We Offer
- A full-time role at AUD $70,000–$80,000 + Super, based on experience and capability

Pay: $70,000.00 – $80,000.00 per year
