We're replacing our HR and payroll system. The new platform will change how approximately 2,500 employees (the majority casual) are onboarded, rostered, paid and managed, across multiple brands and more than 200 locations in six states and territories. Every manager and every employee in the network will be involved in this change.
Our People, Culture & Safety, Payroll, Finance and IT teams hold the subject matter expertise, and our implementation partner leads the technical build. What we need is dedicated capacity to plan the project, keep it moving, and get our people genuinely ready for it. That's this role.
It's a broad brief. You'll be the person holding the plan, the person keeping our internal experts in step with our implementation partner, and the person supporting how we bring our large, dispersed, shift-based workforce along with us.
You don't need to be a payroll configuration specialist or an award interpretation expert. That expertise sits with our internal teams and implementation partner. What we need is someone who can plan, drive and help us to land the change.
This is a part-time fixed-term opportunity for 6-8 months. Hours are negotiable.
Project management and governance
- Build and maintain the project plan and schedule across the full implementation lifecycle
- Act as day-to-day point of contact for the implementation team
- Run internal project meetings, track deliverables and readiness gates, and hold internal owners to agreed dates
- Review project risks, issues and dependencies, and escalate early with options
- Report concisely and regularly to the P&C leadership
Change and communications
- Develop a change plan suited to a large, dispersed and predominantly casual workforce
- Map impacts by audience — payroll, HR, administrators, club and studio managers, employees — and plan what each group needs
- Build a communications plan and calendar mapped to key milestones, and draft manager and employee communications for approval
- Plan the pay-enquiry and internal support approach for go-live
Learning and development
- Design the training approach, audiences and sequencing across all cohorts
- Develop learning resources that work for people with limited desk time — quick reference guides, short-form digital content, job aids
- Establish and support a train-the-trainer model, preparing internal delegates to deliver training at go-live and beyond
- Coordinate scheduling and track completion against readiness gates
We are looking for someone with:
- Demonstrated project management experience on system implementations or comparable enterprise change, including planning, scheduling and driving to milestones
- Practical working knowledge of HR and payroll operations — rostering, time and attendance, award-based pay rules, pay cycles
- Strong understanding of change management principles and how they apply to an HRIS implementation
- Experience designing training approaches and materials, ideally including train-the-trainer models for distributed workforces
- The ability to build relationships quickly, influence without direct authority, and hold busy people to their commitments
- Clear, concise writing, and the judgement to pitch a message differently for an executive and for a casual employee checking their roster on their phone
