MAIN DUTIES/RESPONSIBILITIES/ PERFORMANCE GOALS:
- Oversee the day-to-day operational management of the accounting practice and administration functions.
- Coordinate workflow management, WIP monitoring, lodgement tracking, compliance deadlines, and operational priorities across the broader team.
- Assist the Principal with operational projects, practice improvements, strategic coordination, reporting requirements, and internal governance processes.
- Liaise with regulatory bodies including the Australian Taxation Office (ATO), ASIC, software providers, legal representatives, auditors, and external stakeholders.
- Coordinate and manage ASIC company compliance, company incorporations, trust establishments, SMSF establishments, deed upgrades, and ongoing corporate compliance processes.
- Oversee implementation, coordination, and operational management of accounting practice software ecosystems and cloud-based compliance applications.
- Act as internal operational support lead for systems integration, troubleshooting coordination, workflow optimisation, and process implementation.
- Coordinate onboarding, training support, operational guidance, and procedural implementation for administration and accounting staff.
- Support implementation readiness and internal process adaptation relating to regulatory and industry reforms, including Payday Super, AML/CTF reforms, APES 305 requirements, and related compliance initiatives.
- Manage relationships with software vendors, external consultants, IT providers, and operational service providers.
- Coordinate internal operational reporting, document management, workflow procedures, templates, and process controls.
- Assist with HR coordination, staff scheduling, internal meetings, team event coordination, and operational communications.
- Maintain oversight of client correspondence processes and service delivery standards across operational functions.
- Support operational implementation of payroll, reporting, workflow, and compliance systems associated with taxation and SMSF administration environments.
- Coordinate and maintain operational procedures relating to document management systems, practice management systems, and compliance reporting tools.
Qualifications
- Bachelor qualification in Business Management, Enterprise Management Systems, Operations Management, International Business, or related discipline.
- Qualifications, training, or demonstrated knowledge in Enterprise Resource Planning (ERP), Project Management, Business Operations, Management Systems, or related fields.
- Knowledge of, and operational readiness for, implementation of Tranche 2 AML/CTF reforms commencing from 1 July 2026, APES 305 Terms of Engagement requirements, and Payday Super compliance reforms.
- Advanced operational experience with integrated accounting practice management and compliance platforms, particularly Kloud Connect CRM, GovReports, and Business Fitness, including workflow coordination, document management, compliance processing, client communication management, reporting workflows, and operational systems administration.
- Demonstrated experience supporting implementation, integration, troubleshooting
Experience
- Minimum 5 years’ experience within accounting practice operations, business operations management, professional services administration, or related operational management environments.
- Demonstrated experience managing multiple integrated operational functions within a professional services or compliance-driven business environment.
- Advanced stakeholder management and communication skills across clients, staff, software providers, vendors, regulatory authorities, and external service providers.
- Demonstrated experience coordinating operational workflows, compliance processes, WIP management, business reporting functions, and practice administration activities within an accounting or professional services environment.
- Strong operational experience working with integrated accounting practice management systems and cloud-based compliance platforms, with demonstrated advanced knowledge and hands-on experience in Kloud Connect CRM, GovReports, and Business Fitness being essential requirements for the role, including workflow management, document control, compliance coordination, client communication tracking, and practice-wide operational administration.
- Demonstrated capability supporting software integration projects, workflow optimisation initiatives, and operational coordination across interconnected business systems and compliance applications.
- Demonstrated capability managing operational priorities within high-volume, deadline-driven environments with competing business demands.
- Strong understanding of professional services operational governance, workflow management, compliance coordination, and client service standards within an accounting practice environment.
- Ability to work autonomously, exercise sound professional judgment, manage competing priorities, and support broader business operational objectives.
Pay: $85,000.00 – $100,000.00 per year
