Primary objective
Provides high quality service to support the delivery of contractual compliance with financial and procurement frameworks,
assurance and contract management system administration. The role offers essential service support to contract managers, is
responsible for reporting, developing relationships with stakeholders, developing contract management capability, supporting
continuous improvement, establishing and maintaining controls and providing procurement and contract management support and
education.
Key duties and responsibilities
1. Develop and manage a system for the effective administration of all contracts within the agency.
2. Establish files for all contracts and ensure a system is in place to ensure a smooth workflow for claims, payments, contract
administration and any issues or variations.
3. Establish and manage reporting systems to ensure data on each contract is available as required.
4. Establish and maintain relationships with contractors and contract managers to ensure a smooth flow of information and a
consistent flow against each contract.
5. Meet deadlines and track issues to resolution.
6. Provide high quality customer service to internal and external stakeholders.
7. Manage the generic email inbox, respond to queries where possible and direct/escalate to Manager Contracts where necessary.
8. Undertake small projects relating to procurement and/or contract management where directed.
Selection criteria
Essential
1. Experience in contract administration or procurement support, including managing contract documentation, workflows, and
compliance requirements.
2. Ability to establish and maintain contract administration systems, including records management, payment tracking, and
workflow processes.
3. Demonstrated experience in data management and reporting, including developing reports to support contract performance
and compliance.
4. Sound knowledge of procurement and financial frameworks, preferably within a government context, or the ability to quickly
acquire this knowledge.
5. Highly developed stakeholder engagement skills, with the ability to build and maintain effective working relationships with
contract managers, contractors, and internal clients.
6. Strong communication skills (oral and written), including the ability to interpret contractual information and present it clearly in
plain English.
7. Strong organisational, customer service and problem-solving skills, with the ability to manage competing priorities, meet
deadlines, track issues to resolution and respond to enquiries with accurate and timely support.
Desirable
1. Experience working with NTG or broader public sector systems and processes, including procurement and financial
management environments.
2. Relevant qualifications or training in procurement, contract management, business administration, or a related field.
