Beyond Fun – Program Coordinator
Pay Details – SCHADDS Award Level 2, Pay Point 2 – $ 34.68 per hour
Position Summary
The Program Coordinator is a key operational and administrative leadership role at Beyond Fun Centre, supporting the delivery of safe, high-quality, and person-centred supports for participants with disability in line with the NDIS Practice Standards and organisational policies.
Working closely with the Centre Manager, the Program Coordinator ensures the effective coordination of daily operations, staffing, participant programs, and administrative systems in the day program centre. This role functions as a second-in-charge, contributing to service continuity, compliance, and high-quality participant outcomes.
The role is primarily administrative and coordination-based, with occasional direct support work to ensure safe, engaging, and inclusive participation experiences. We are open to those who may not have prior experience in NDIS industry as training will be given.
Job duties are as follows :
Program Coordination & Rostering
o Develop, maintain, and adjust staff rosters to ensure safe and appropriate staffing ratios in line with participant needs and program requirements
o Coordinate daily and weekly program schedules, ensuring activities are planned at least two weeks in advance
o Support consistent program delivery that promotes participant choice, control, and engagement
o Ensure staffing aligns with participant support needs, risk considerations, and activity requirements
Administration & Operational Compliance
o Manage day-to-day administrative operations including documentation, records management, and internal communication systems
o Monitor and respond to emails, enquiries, and service communications in a timely and professional manner
o Maintain accurate participant records including bookings, attendance, service notes (where applicable), and program participation data
o Support organisational compliance with NDIS Practice Standards, including documentation accuracy and procedural adherence
o Assist in maintaining centre systems that support audit readiness and service quality
Participant & Stakeholder Engagement
o Communicate respectfully and professionally with participants, families, guardians, support coordinators, and allied stakeholders
o Provide timely follow-up regarding bookings, service availability, and participant engagement
o Promote a person-centred approach that respects participant dignity, choice, and independence
o Support positive relationships that reflect inclusivity, transparency, and collaboration
Marketing & Community Engagement
o Support the promotion of Beyond Fun Centre programs and services to NDIS participants and stakeholders
o Assist with outreach activities that strengthen community participation and service awareness
o Contribute to initiatives that promote inclusion, engagement, and participant access to meaningful activities
Event & Program Logistics
o Assist with planning, coordination, and execution of workshops, events, and group activities
o Ensure all logistical requirements (staffing, resources, materials, and venue preparation) are organised in advance
o Support smooth operational delivery of programs, ensuring participant safety and engagement
Direct Support (as Required)
o Provide direct support to participants when needed, ensuring dignity, respect, and person-centred care
o Support community participation and inclusive activities within the centre and the broader community
o Implement safe work practices and follow all participant behaviour and support plans where applicable
Leadership & Operational Support
o Act as second-in-charge to the Centre Manager, supporting operational decision-making and daily service delivery
o Assist in maintaining structured systems that ensure the centre is prepared at least two weeks in advance
o Support continuous improvement initiatives and contribute to service development
o Promote a positive, professional, and compliant workplace culture
Essential Criteria
o Enthusiasm and ability to build strong relationships
o Demonstrated experience in program coordination/administration, or disability services support role
o Experience in outreach activities and communication that translates into conversion
o Strong understanding of or ability to quickly learn the NDIS framework, NDIS Practice Standards, and person-centred support principles
o Excellent organisational and time management skills, with the ability to plan and manage competing priorities
o Excellent written and verbal communication skills with the ability to engage respectfully with diverse stakeholders
o Experience in rostering, scheduling, or operational coordination in a service-based environment
o Ability to maintain accurate records and support administrative compliance requirements
o Demonstrated ability to work both independently and as part of a team, including supporting leadership staff
o Commitment to safeguarding, dignity, inclusion, and rights of people with disability
Desirable :
o Experience with Day Program
o Experience with School Leavers Employment Support (SLES)
o Driver’s Licence
Requirements :
o Certificate III/Bachelors in Social Work/Community Service, or equivalent
o First Aid and CPR certification (or willingness to obtain)
o NDIS Worker Screening Check (or willingness to obtain)
o Working With Children Check (if applicable to participant cohort)
Pay: $34.68 per hour
