Office Manager — Lismore Cardiology Practice
We are seeking an experienced, highly organised Office Manager to join our busy cardiology practice in Lismore.
You will coordinate the day-to-day administrative operations of a specialist multi-practitioner medical practice, supervising and leading a reception team while supporting clinical staff to ensure smooth and efficient daily operations.
The Office Manager will work closely with the Practice Principal and Accounts Manager to develop and implement rosters, office systems and healthcare compliance and accreditation standards.
This is a part-time position, 3–4 days per week. Core days are Tuesday to Thursday, with Friday optional for those wanting a 4-day week. Hourly rate: $40–$45 per hour, depending on experience.
Key Responsibilities
- Providing hands-on support at the front desk, as needed, assisting with patient enquiries, bookings and daily operations.
- Overseeing daily reception workflows and management of reception staff.
- Supporting clinicians with day-to-day administrative and operational tasks.
- Accounts management, including Medicare/DVA claims, private billing and inpatient hospital accounts.
- Rostering and resource management.
- Ensuring compliance with privacy laws, practice policies and procedures, accreditation standards and data security.
- Managing clinic communications.
- Promoting a positive, accountable and collaborative workplace culture.
Skills and Experience
- Previous experience in medical practice, office management, healthcare operations, or a similar leadership position is essential.
- Working knowledge of the Medicare Benefits Schedule (MBS) is required.
- Confidence managing rosters, performance expectations and operational processes is required.
- Knowledge of basic medical terminology and healthcare compliance standards, including privacy legislation, is required.
- Proficiency with practice management software, Microsoft Office and electronic health record systems.
- Strong organisational, problem solving and time management skills, with the ability to prioritise and multitask.
- Strong attention to detail and an ability to follow tasks through independently.
- Professional, confident written and verbal communication skills.
- Flexibility and a willingness to positively and proactively respond to regular changes in practice operations.
