About Reverence Community Care
Reverence Community Care is a growing multidisciplinary allied health provider delivering Occupational Therapy, Speech Pathology, Behaviour Support, Psychology, Early Childhood Supports and Allied Health Assistant services across clinics, homes, schools and community settings.
As our organisation continues to grow, we are looking for a proactive and organised Clinic Operations & Clinical Coordinator to oversee the day-to-day operations of our clinics and support our practitioners in delivering an exceptional participant experience.
About the Role
The Clinic Operations & Clinical Coordinator will act as the central point of coordination within our clinics, ensuring clinicians, participants and families receive seamless support.
This role is ideal for someone with strong organisational and leadership skills who enjoys working with people, solving problems and ensuring clinic operations run efficiently.
The successful candidate will work across both our Bacchus Marsh and Williams Landing clinics.
Key Responsibilities
1. Clinic Operations
- Oversee the daily operations of both clinics.
- Ensure appointments run smoothly.
- Support reception staff with scheduling and participant enquiries.
- Monitor clinician calendars and clinic utilisation.
- Assist with room allocations and clinic resources.
- Identify operational issues and implement practical solutions.
2. Practitioner Support
- Provide day-to-day support to clinicians.
- Assist practitioners with scheduling concerns.
- Coordinate appointment changes and cancellations.
- Ensure clinicians have appropriate resources available.
- Support onboarding of new clinicians.
- Promote a positive and collaborative workplace culture.
3. Participant Experience
- Welcome participants and families where required.
- Conduct participant satisfaction and feedback calls.
- Follow up new participants after commencement.
- Address participant concerns promptly.
- Liaise with Support Coordinators, Plan Managers and families when required.
- Assist with participant retention initiatives.
4. Scheduling & Coordination
- Work closely with the Operations Manager regarding clinician availability.
- Assist with clinic scheduling and optimisation.
- Coordinate group programs.
- Monitor practitioner capacity.
- Identify opportunities to improve clinician utilisation.
5. Quality & Compliance
- Ensure clinic procedures are followed.
- Assist with maintaining operational policies and workflows.
- Monitor documentation requirements.
- Support quality improvement initiatives.
- Escalate concerns to management when required.
6. Team Collaboration
- Work closely with:
- Operations Manager
- Reception Team
- Allied Health Practitioners
- Clinical Team Leads
- Administration Team
Provide operational support wherever required to ensure the smooth running of the clinics.

Essential Requirements
- Previous experience in healthcare, allied health, medical practice or disability services.
- Experience working within the NDIS sector.
- Experience in administration, coordination or practice management.
- Excellent Microsoft Office skills.
- Ability to learn practice management software.
- Current Working with Children Check.
- NDIS Worker Screening Check (or willingness to obtain).
- Current Driver's Licence.
- Previous allied health clinic experience.
- Knowledge of appointment scheduling systems.
- Experience managing clinician calendars.
- Leadership or team coordination experience.
