Executive Assistant to Regional Director
Australia – Gold Coast, Queensland
Employment Type: Full-time
Reports To: Regional Director, Australia
Remuneration: A$110,000 – $150,000 per annum (pre-tax) + Superannuation, commensurate with experience
The Opportunity
Our Australia operations are scaling, and our Regional Director needs a trusted right hand—someone who can do far more than manage a diary. This role sits at the intersection of executive support, business coordination, and market engagement. You will be the linchpin connecting our China headquarters with the local Australian team, clients, and partners. If you thrive on bringing order to complexity, communicate fluently across cultures, and want a long-term seat at the table of Australia’s clean energy transition, this is your invitation.
What You’ll Do
Master the Director’s universe
- Own the Director’s calendar, meetings, travel and events, ensuring every commitment is prepared for and no detail is left to chance.
- Prepare briefs, presentations and meeting packs in advance; track action items and follow through relentlessly.
Bridge two business worlds
- Draft, translate and review business correspondence, reports and proposals in both English and Chinese with precision and nuance.
- Act as the communication nerve centre between headquarters and the Australian team, filtering noise and ensuring clarity.
Drive business and client engagement
- Coordinate and attend client visits, negotiations, industry functions and VIP hospitality, representing the Director with polish and warmth.
- Support business development activities—research markets, track policy shifts, gather competitive intelligence, and help move renewable energy projects forward.
- Nurture relationships with customers, suppliers and partners, becoming a recognised, trusted contact.
Guard what matters
- Handle sensitive commercial information with absolute discretion; understand the weight of confidentiality in every interaction.
- Travel domestically with the Director as required, handling logistics and on-the-ground support.
Who You Are
Essential
- Fully bilingual in English and Mandarin Chinese, with the ability to speak, read and write at a business-professional level in both languages.
- Minimum 3 years’ experience as an Executive Assistant, Personal Assistant, Business Assistant or Project Coordinator, ideally supporting C-suite or regional directors.
- Genuine understanding of Australian business culture, etiquette and workplace norms.
- Exceptionally organised, calm under pressure, and able to manage competing priorities without dropping threads.
- Meticulous, dependable, and mature in judgement; you take ownership and see things through to completion.
- High ethical bar and an instinct for confidentiality.
- Comfortable with occasional business travel and client-facing hospitality.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and quick to adopt new tools.
- Seeking a stable, long-term career partnership, not a stepping stone.
Highly regarded
- Experience working in a Sino-Australian enterprise, multinational, or an overseas arm of a Chinese company.
- Background in renewable energy, solar PV, battery storage, engineering, or international trade.
- Familiarity with how Chinese and Australian companies collaborate commercially.
- Proven ability in client relationship management, corporate event hosting, or project coordination.
- Established business networks in either Chinese or Australian commercial circles.
- Advanced business etiquette and high-level hospitality skills.
The Character We Value Most
Skills matter, but character is our foundation. We are looking for someone who:
- Lives with discipline—punctual, structured, and reliable in all things.
- Carries themselves with professional composure and takes pride in their presence.
- Keeps a cool head under pressure; emotional maturity is non-negotiable.
- Knows where the boundaries lie—proactive without overstepping, approachable yet discreet.
- Does not cut corners, does not disappear when things get hard, and always closes the loop.
- Moves comfortably between cultures and builds rapport with people from all walks of life.
What We Offer
- Salary: A$110,000 – $150,000 base (pre-tax) + Superannuation. Final offer will reflect your depth of experience, bilingual fluency, industry knowledge and executive support track record.
- Formal employment contract with all statutory entitlements.
- Annual performance bonus, tied to company results and your individual contribution.
- Business travel expenses covered in line with policy.
- A genuine career path—for the right person, this role can grow into broader operational or management responsibilities.
- The chance to be part of something bigger—you will be helping to bring clean energy projects to life across Australia, working at the crossroads of two dynamic economies.
This Is Not Just an Admin Role
We are not hiring someone to simply take notes and book flights. We want a partner who understands the rhythm of the Director’s workday, who anticipates needs before they are spoken, and who holds the fort with quiet confidence. If you are equally at home drafting a bilingual proposal as you are hosting a senior delegation, and you want to build a career where clean energy meets cross-border collaboration, let’s talk.
To Apply
Please submit the following:
- Your CV in English
- Your CV in Chinese
- A brief summary of relevant experience
- Evidence of language proficiency or other qualifications (if available)
- Referee details (optional)
We welcome applications from experienced bilingual EAs who are ready to make a lasting impact in Australia’s renewable energy sector.
