The Opportunity
Our client is a well-established, family-owned fire protection services business that has been operating across Victoria since 1999. Known for their quality workmanship and tight-knit team culture, they are now seeking an experienced Service Coordinator to join their Boronia office on a permanent full-time basis.
This is a genuine replacement role — the outgoing coordinator has been with the business for many years and is retiring. You’ll be stepping into a well-regarded position with established systems, a supportive management team, and a stable, long-term career opportunity.
The Role
Reporting to the Operations Manager, you’ll be the operational backbone of the service department — coordinating field technicians, managing scheduling, liaising with customers and suppliers, and keeping the administrative side of the business running smoothly.
Hours: Monday to Friday, 8:30am – 5:00pm. No weekends.
Day to Day Responsibilities
- Coordinate and manage daily workloads and routine maintenance schedules for a team of 5–10 field service technicians
- Serve as the primary point of contact between field staff, customers, and suppliers
- Order and manage materials and parts to keep the team equipped and job-ready
- Manage and distribute incoming correspondence to relevant staff members
- Assist in the preparation of customer service reports and quotes
- Maintain high standards of customer relations and follow-through
- Comply with quality control measures and operational guidelines
Key requirements:
• Previous experience in a service coordination, scheduling, or operations administration role
- Background in fire protection, HVAC, facilities management, or a related trade services industry highly regarded
- Strong computer literacy with the ability to adapt to new software systems quickly
- Exceptional organisational and time management skills with the ability to handle competing priorities
- Outstanding verbal and written communication skills
- Meticulous attention to detail and pride in the quality and accuracy of your work
- Ability to work both independently and as a collaborative team member
- Salary in the range of $80,000–$90,000 + superannuation, depending on experience — the right salary for the right person
- Permanent full-time role with consistent Monday–Friday hours and no weekend work
