Why this is an exciting opportunity
Join HUB24 as an Administration Services Officer and play a key role in delivering exceptional service and operational support across our Product Administration team.
This is a fantastic opportunity for someone who enjoys problem-solving, working with data, and building strong relationships in a fast-paced financial services environment.
You'll be responsible for a broad range of administration activities that support client outcomes, tax reporting, data integrity, and platform operations, while contributing to continuous improvement initiatives that help drive service excellence across the business.
What you’ll be doing
- Deliver outstanding service and act as a key point of contact for Product Administration enquiries.
- Prepare and manage client correspondence and account maintenance requests.
- Investigate, resolve and escalate operational issues in a timely manner.
- Reconstruct historical cost base information to support CGT reporting requirements.
- Analyse and interpret complex data, identifying and resolving discrepancies.
- Support quarterly and annual tax reporting processes and liaise with external providers.
- Calculate and process client-facing and platform service fees.
- Manage account closures and support MDA compliance, monitoring and reversion activities.
- Partner with Reconciliations and Corporate Actions teams to ensure data integrity and service quality.
Contribute to process improvement initiatives, risk management activities and regulatory compliance obligations.

What you bring

Experience & Skills
- Experience within the financial services industry.
- Strong analytical and problem-solving skills with the ability to interpret data and investigate issues.
- Excellent organisational skills with the ability to prioritise competing deadlines.
- Strong written and verbal communication skills and the ability to build effective stakeholder relationships.
- Ability to work independently while contributing positively to a collaborative team environment.
- Intermediate Microsoft Office skills, particularly Outlook, Excel and Word.
- A proactive mindset with a focus on continuous improvement and service excellence.
Desirable:
- Understanding of Corporate Actions and their impact on cost bases.
- Knowledge of various asset classes and portfolio reconstruction.
- Experience using Iress IPS.
