We are seeking an experienced, organised, and proactive Office Manager to oversee the day-to-day administrative operations of our practice. This is a hands-on leadership role suited to someone who thrives in a fast-paced environment, enjoys leading people, improving processes, and ensuring everything runs smoothly behind the scenes.
About the Role
As our Office Manager, you will be the backbone of our daily operations, providing leadership to our administration team while ensuring efficient business operations and an exceptional experience for our patients.
Working closely with the Operations Manager and Directors, you will oversee office administration, financial processes, compliance, staff coordination, and workflow improvements, playing a key role in the continued growth and success of the practice.
Key Responsibilities
Leadership & Team Management
- Lead, mentor and support the administration and reception team.
- Coordinate staff rosters, leave requests and performance reviews.
- Foster a positive, collaborative and high-performing workplace culture.
- Assist with recruitment, onboarding and ongoing staff training.
Office Management
- Oversee the day-to-day operations of the practice to ensure smooth and efficient workflows.
- Develop, implement and continuously improve office systems, policies and procedures.
- Coordinate patient scheduling processes and administrative workflows.
- Manage office supplies, equipment and supplier relationships.
- Organise meetings, staff events and internal communications.
Financial Administration
- Manage accounts payable and receivable.
- Assist with payroll processing.
- Coordinate with external accountants and support financial reporting.
- Monitor inventory, ordering and stock control.
Compliance & Human Resources
- Maintain employee records and personnel documentation.
- Ensure compliance with workplace policies, health and safety requirements, and industry regulations.
- Support HR administration and employment documentation.
Patient Experience
- Provide exceptional support to patients and visitors.
- Resolve escalated patient enquiries and concerns with professionalism, empathy and discretion.
- Maintain the high service standards Maylands Dental Centre is known for.
About You
To be successful in this role, you will possess:
- Minimum 2 years' experience in an Office Manager, Practice Manager or Senior Administration role.
- Previous experience within a dental or healthcare environment (highly regarded).
- Strong leadership skills with the ability to motivate, coach and develop a team.
- Excellent organisational and time management skills with the ability to prioritise multiple tasks.
- Outstanding communication and interpersonal skills.
- High attention to detail and excellent problem-solving ability.
- The ability to work independently while collaborating effectively with the leadership team.
- Advanced computer skills and experience using Microsoft Office.
- Experience with practice management software such as Dental4Windows, EXACT, and Xero (highly desirable).
- The ability to handle confidential information with professionalism and integrity.
