Job Description – Casual Administration Team Member

Position Overview
Mornington Peninsula Family Physiotherapy is seeking a casual administration team member to join our front-of-house team. This role is the first point of contact for patients and plays a key part in the smooth day-to-day running of the clinic.
Key Responsibilities
- Greet patients and visitors in a warm, professional manner
- Manage phone and email enquiries, including bookings, rescheduling and cancellations
- Process patient check-in and check-out, including payments and HICAPS/health fund claims
- Manage appointment scheduling across multiple practitioners
- Handle Medicare, DVA, and NDIS billing and paperwork as required
- Maintain accurate patient records in the clinic practice management software
- Manage stock and stationery supplies
- Support practitioners with general administrative tasks as needed
- Maintain a clean, organised and welcoming reception and waiting area
- Assist with general clinic communications (reminder texts/emails, recalls)
Skills and Experience
- Previous experience in a medical, allied health, or customer service reception role preferred
- Confident phone manner and strong verbal/written communication skills
- Experience with Nookal preferred, and general computer literacy
- Ability to multitask and stay calm under pressure in a busy clinic environment
- High attention to detail, particularly with billing and patient records
- A team player who is reliable, punctual, and personable
Hours
Casual position — days/hours to be discussed based on clinic roster needs and availability. May include some Saturday morning availability.
Classification
This role is covered under the Health Professionals and Support Services Award (MA000027), classified according to duties performed
Pay: $35.00 – $39.00 per hour
