The Admin Coordinator/Rostering Coordinator supports Energon Australia's administrative and office operations, assisting the team to deliver high-quality NDIS services. This entry-level role focuses on learning core administrative functions, maintaining accurate records, and providing professional front-line support to participants, families, and staff.
Job Role Includes :
- Provide day-to-day administrative support independently
- Assist with filing, data entry, document preparation, and record maintenance Prepare basic correspondence, emails, and template
- Support front-desk and reception duties, including phone and email enquiries
- Greet participants, families, and visitors in a respectful and professional manner Prepare onboarding documentation for staff
- Arrange interviews, training, and meetings of the staff members with relevant personnel of the organization
- Put up job posts on indeed, screen resumes and conduct phone screenings for suitable candidates
- Escalate enquiries and issues to management team as required
- Assist in maintaining participant and staff records in line with NDIS requirements
- Completing compliance documentation, and support during audits, and quality records
- Always ensure confidentiality and privacy of participant information
- Create, update, and maintain staff rosters in line with participant support plans
- Allocate shifts based on participant needs, staff availability, skills, and qualifications
- Ensure rosters meet NDIS requirements, service agreements, and funding constraint
- Act as a key point of contact for rostering enquiries from staff and participants
- Coordinate projects/events as required by the company
- Escalate complex rostering issues to operations manager or management as appropriate
- Reporting on overtime issues, fortnightly hours and escalating financial issues as required
Requirements for the role
- Minimum 1 year of experience in administrative role and rostering role
- Speaks fluent English
- Clear verbal and written communication
- Ability to maintain confidentiality and accurate records
- Good organizational skills and willingness to learn
- Maintain good relations with stakeholders
- Basic computer skills (Microsoft Word, Excel, Outlook)
- Attention to detail and ability to follow procedures
- Reliable and punctual
- Enjoys being active, hands-on, and problem-solving
- Open to feedback and learning
- Confidence and maintaining composure when stressed
