About the Role
This position is part of a national team supporting Reception and Facilities across Avant. In this role, you will deliver exceptional Reception services at the Sydney office, ensuring a welcoming, professional, and seamless experience for all visitors and staff. As a member of the Facilities team, you will also help maintain safe, functional, and inspiring workspaces across Avant’s offices. This includes assisting with facilities coordination, day-to-day operational tasks, and general administration to support the smooth running of the workplace. This position offers a varied mix of responsibilities, with a strong focus on customer service for both internal and external stakeholders. You will play a key role in ensuring Avant’s premises remain safe, comfortable, and well-presented for staff, visitors, members, and contractors. Given the client-facing nature of this role, professional business attire is required at all times.
Key Accountabilities:
- Provide friendly, efficient customer service to all stakeholders through timely written and verbal communication in response to facilities requests and enquiries.
- Present at Reception throughout the day, providing consistent on-site support.
- Provide reception coverage when required, including greeting visitors, preparing meeting rooms, managing mail distribution, and overseeing visitor sign-in processes.
- Positively promote facilities-related initiatives and ensure all activities, including coordinating quarterly staff events such as catering, theming, and invitations.
- Coordinate planned and reactive maintenance services, including (but not limited to) air conditioning, security, lighting, power, plumbing, and other essential facilities operations.
- Manage assets and maintain a strong WH&S focus across all facilities-related infrastructure and activities.
- Oversee stationery orders and ensure utility rooms remain well-stocked and organised.
- Support fire warden training and other first-response responsibilities as required.
- Process facilities-related invoices accurately and in a timely manner, ensuring appropriate approvals, coding, and reconciliation.

- Ability to quickly learn and adapt to new software platforms
- Proficiency in Microsoft 365
- Experience in Access-control systems (preferred but not essential)
