We run a structured, systems-driven operation using Simpro for job management and simple SOPs to keep everything moving. As we grow, we need someone who can take ownership of the day-to-day coordination of jobs and keep the business flowing efficiently.
The role
This is a hands-on coordination role focused on scheduling, responsiveness, and keeping technicians productive.
You’ll be responsible for ensuring work is booked, planned, and executed efficiently while maintaining a high level of communication with customers.
1) Scheduling & workflow control
- Own the daily schedule and ensure technicians are fully allocated
- Book jobs and quote visits as soon as enquiries come in
- Plan upcoming work to minimise downtime and maximise productivity
- Confirm job details, access, materials, and notes ahead of each day
- Adjust schedules in real time as priorities change
- Ensure all jobs are kept moving and nothing sits idle
2) Customer communication
- Manage inbound enquiries (phone, email, website) and respond promptly
- Book new work quickly and professionally
- Confirm appointments and keep customers updated
- Ensure a high standard of communication across all touchpoints
3) Technician support & coordination
- Work closely with technicians to keep jobs running smoothly
- Assist with procurement, job preparation, and resolving issues
- Provide clear job information, notes, and updates through Simpro
- Escalate issues early and help keep projects moving
4) Systems & admin
- Manage jobs and workflow primarily through Simpro
- Maintain a controlled inbox and respond without delay
- Use Office 365 (Outlook, Teams), SharePoint, and HubSpot CRM
- Assist with invoice preparation and job close-out
- Maintain clean and consistent job records and processes
- Create, maintain, and improve SOPs and documented processes to support consistent workflow and operations
About you
- Proven experience in scheduling or coordinating field staff (trade or service business highly regarded)
- Strong organisational skills and ability to manage multiple jobs at once
- Confident communicator with a focus on fast, clear responses
- Comfortable working across multiple systems (Simpro experience highly regarded)
- Experience with Microsoft 365, SharePoint, or CRM systems (e.g. HubSpot)
- Proactive and able to work without constant direction
- Based in Canberra and available to work from the office
Hours & flexibility
- 3 days per week (approximately 6 hours per day)
- Designed to suit school hours
- Initial in-person training, then a hybrid working arrangement
- Flexible start and finish times within the middle of the day
Pay
- $35-40 per hour + super, based on experience
