Join our Darra team as a Service Administrator, where you’ll play a key role in keeping our service operations running smoothly. In this fast-paced, customer-focused environment, you’ll support the Service team by ensuring documentation, invoicing and job processes are handled accurately and efficiently.
- Supporting the Service Manager and Supervisor with day-to-day operations, including handling customer enquiries and ensuring timely follow-up
- Managing the end-to-end service workflow, including opening and closing jobs and processing invoices
- Preparing customer quotes using the Reynolds & Reynolds system
- Submitting warranty claims within required timeframes
- Raising and processing Purchase Orders, ensuring approvals are obtained promptly
- Coordinating with subcontractors to book and confirm service work
- Accurately allocating technician hours to repair orders
- Completing weekly timesheets and maintaining organised, up-to-date records
- Identifying opportunities to improve processes and enhance efficiency
- Ensuring all tasks are completed in line with company policies and OH&S requirements
- Proven experience in an administrative role within a service, mechanical, or technical environment
- Strong communication skills with the ability to build relationships across teams and suppliers
- High attention to detail and ability to manage multiple tasks in a fast-paced environment
- Solid Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
- Experience with Reynolds & Reynolds (highly regarded)
- Ability to interpret system data and generate basic service reports
- A proactive, organised approach with a focus on accuracy and continuous improvement
