If you're on top of everything, there's no need to sit in the office just for face-time. Likewise, because some of our clients are overseas, every now and then we might need an hour of your time outside normal business hours — after the kids are in bed, for example — to fit an international call

About the role
This role is currently done offshore. We've reached the point where the day-to-day friction of managing a team member remotely is starting to consume a disproportionate amount of our time — we'd much rather have easy, face-to-face conversations with the person doing this work.
We're a small team. Most of our facilitators, support staff and developers work remotely, so you'll be based in a comfortable but quiet CBD office, with extended periods where you're working largely on your own — the kind of environment that should suit someone who's comfortable with their own company.
The directors you'll be working with have home lives of their own. We like to work efficiently and stay focused during work hours, and we like to leave as soon as the day's done — we're looking for someone who wants the same.
In short: you'll own the logistics for our training business end-to-end — flights, hotels, and everything involved in getting an event ready and run properly, for events here in Australia and overseas. We're looking for someone to run with our existing processes, spot ways they can be improved, and make good judgment calls when something doesn't fit the template — someone who knows the difference between when to make the call and move forward, and when to stop and ask for guidance.
How we work
Almost everything in this role already has a clear process behind it — checklists, templates and a lot of automation for the routine parts of event delivery. The parts you'll be running are the parts that need a human touch, or that can't be automated. You'll need to be confident using, or learning, a number of platforms — including Microsoft Teams, Microsoft Outlook, ClickUp, and a variety of client and event portals. We'll train and support you through all of it, but you've got to be comfortable with technology and software generally.
We also try to embed AI into the way we work — if you've already got some skills or interest in using AI tools, that would be a real bonus for this role.
What you'll own
The role covers five key areas, roughly in order of importance:
1. Travel & logistics — organising flights, accommodation and everything else our facilitators need to get to an event, here in Australia and overseas. This is the single most important part of the role.
2. Facilitator scheduling — finding, contacting and locking in the right facilitators for each upcoming event.
3. Keeping events on track — for every event, there's a checklist of around fifteen things our clients need to organise on their end — catering, meeting rooms, calendar invites, and so on. Your job is to stay on top of the client and make sure it's all been done in time, chasing up anything that's slipping.
4. Physical event support — all face-to-face events, whether run here in Sydney or ones we travel to, need resources packed and ready — laptops, prizes, trophies and other materials. For our Sydney-based events specifically, this also includes making sure tablets are cleaned and charged ahead of time.
5. General administration — supporting correspondence with clients and vendors, and general office tasks like keeping supplies topped up and running the odd errand.
Later on: Once you are comfortable with running all the events, we’d like you to pick up some light bookkeeping support in Xero — invoicing, reconciling, and monthly accounts. Not something you'd be expected to take on until you are ready.
About you
● Proactive — you act on things without waiting to be told, and you think a step ahead
● A strong communicator, comfortable owning conversations with corporate clients and facilitators directly
● Fast and efficient, but never at the cost of accuracy — you double-check your own work and ask when something's unclear
● Comfortable owning a process end-to-end, and comfortable working independently for extended stretches
● Calm under pressure when event dates are close and priorities shift
● Comfortable with technology and software generally — confident using, or learning, Microsoft Teams, Outlook, ClickUp and a variety of portals; any AI skills are a bonus
● Your background might be in office administration, reception, executive assistant work, events, or client services — what matters most is judgement and reliability, not the job title on your last role
● Able to commit to core hours of 10:00am–2:00pm, five days a week, with most of those days worked from the office, plus the flexibility to fit in one or two client calls a week outside those hours, at a time that suits both you and the client
