Commercial & Digital Support Coordinator
Duration: Immediate start through to December 2026
Location: Australia / New Zealand
Department: Sales and Marketing / Commercial Operations
Reports To: Head of Commercial Operations (Operational) & Sales Operations Manager (Functional)
About the Opportunity
As our business navigates its current restructure, we are focused on optimization, efficiency, and supporting our people. We are looking for an internal champion to step into the crucial role of Commercial & Digital Support Coordinator through to December 2026.
This high-energy role is the ultimate support system and quality safeguard for our high-performing Sales and Marketing team. If you have a passion for digitisation, a knack for process automation, and want to gain hands-on experience with complex Defence tenders while keeping our day-to-day operations seamless, this is your chance to make a highly visible impact.
Key Responsibilities
In this role, you will pair digital capability and day-to-day coordination with a forward-thinking mindset to keep our operations running at peak efficiency.
Your main responsibilities will include:
- Digitisation & Process Automation: Spearhead digitisation efforts by identifying manual, repetitive tasks and work with the team to implement smart software workflows that transform how we work.
- Knowledge Management: Build and champion a centralised, searchable digital reference library, migrating legacy data into streamlined, accessible and digitised formats.
- Document Refinement & Production: Edit, proofread, and format crucial proposal content to ensure consistent branding, flawless English, and complete compliance.
- Team & Commercial Coordination: Manage complex schedules, coordinate hybrid meetings, and handle core administrative tasks like expense reporting and invoice processing.
- SME Collaboration: Act as the bridge between Sales and Subject Matter Experts (SMEs) to help bring commercial offers to life.
What We Are Looking For
Because this is an internal opportunity, we are looking for a colleague who already understands our collaborative culture and brings the following strengths:
- Digitisation & Improvement Mindset: You naturally look for ways to make processes "1% better every day" through digital solutions, anticipating bottlenecks before they happen.
- Ecosystem Flexibility: You are highly proficient in both Google Workspace (for internal collaboration) and Microsoft Office Suite (essential for complex Defence tender formatting).
- High EQ & Resilience: You excel at reading the room, managing sensitive timelines with tact, and keeping a positive attitude during fast-paced "proposal sprints".
- Influence Without Authority: You have the communication skills and confidence to gently guide colleagues and senior stakeholders to hit critical deadlines.
- A Degree in Business, Communications, or Marketing is highly regarded, but not mandatory.
Why Apply?
This role offers an excellent opportunity to expand your skill set in digitisation initiatives, high-stakes proposal coordination, and workflow automation. It's a fantastic way to diversify your internal resume, work closely with leadership, and drive structural efficiency within AAP Sales and Marketing.
