About the role
This is a senior, high-impact position — not a reception role. As Practice Manager you will oversee the daily operations of all three brands, lead the front-of-house team, and work directly with the director to drive performance and growth. You will own clinical workflows, client experience, financial reporting, and business development support across a thriving multi-brand practice.
Salary$70,000 – $100,000 Based on Experience

What you'll do
- Lead daily operations across Urban Physiotherapy, Urban Pilates, and Urban Ergonomics
- Manage, mentor and roster front-of-house and administrative staff
- Own appointment scheduling, diary optimisation, and client experience across all three brands
- Oversee billing, HICAPS, Medicare, and third-party payer processing
- Monitor KPIs and prepare operational reports for the director
- Manage corporate client accounts and B2B service delivery for Urban Ergonomics
- Drive client retention, referral growth, and revenue improvement initiatives
- Develop and maintain clinical and administrative SOPs
- Coordinate marketing, social media, and community engagement activity
- Ensure compliance with healthcare regulations and WHS requirements
About you
- Demonstrated experience in practice management or senior clinic/health administration (allied health, physiotherapy, fitness or corporate health setting preferred)
- Strong leadership skills — you know how to build team culture and manage performance
- Sound commercial acumen: you can read a KPI dashboard and proactively improve results
- Confident with practice management software (Cliniko, Nookal or similar) and Microsoft Office
- Exceptional attention to detail and ability to manage competing priorities
- Proactive, solutions-focused mindset with excellent communication skills
- Genuine passion for health, wellness, and delivering an outstanding client experience
Experience with HICAPS, Medicare billing or ergonomics/corporate wellness accounts is a bonus.

Requirements
- Must be able to reliably commute to North Sydney NSW 2060 — in person role, no remote work
- Full working rights in Australia required
- Minimum 1 year in a practice management, operations, or senior administration role
- Strong written and verbal English communication skills
