Your Team
Reporting to the Head of the Office of the Superannuation Trustee, we are looking for an incredible permanent Board Liaison Manager to join our CRO Office at CFS.
This role is Sydney CBD based, with hybrid working.
Your Responsibilities
- Manage Board and Board Committee processes by attending to the preparation and distribution of papers, agendas, minutes, standing items, matters arising, circular resolutions and other related tasks.
- Respond to requests for statutory records and corporate information
- Coordination of training and maintaining up to date Standard Operating Procedures
- Assisting the Company Secretary with risk and compliance obligations
- Filing and safe keeping of company registers and statutory records relating to CFS Group entities.
- Maintain and manage the Diligent relationship and portals.
- Create and maintain internal records (including, office holders list, structure charts, Document Execution Register, etc), working documents (including, checklists and trackers, etc), and standard operating procedures.
- Manage Boards’ Director Contact List.
- Arrange, manage and communicate the logistics (including calendar invites) for Board and Committee meetings (where applicable).
- Update any changes (as required) to the Company Secretariat intranet pages.
- Be the central liaison person for Director Communications and interactions.
- Assist with other projects from time to time, including with Company Secretariat risk and compliance activities, and processes for various Boards when required.
- Respond to and collate documents for with regulatory lodgments and related queries (as required).
- Monitor and manage the Team shared mailbox.
- Assist with team administration matters.
- Provide calendar and secretarial support to the Head of the OST & Group Company Secretary
Your Capability and Experience
- Solid Executive Board Assistant experience or experience in similar Business Manager/Senior Executive Assistant role
- Strong written and verbal communication skills
- Governance or legal qualifications (preferred)
- Advanced Microsoft Office skills (Word, PowerPoint, Teams, OneNote and Excel)
- Advanced Experience with Diligent Boards
- Highly organized with excellent time management skills
- Strong customer service/relationship management skills
- Experience with DocuSign
- Very strong attention to detail
- Strict adherence to confidentiality at all times
- Ability to work autonomously and use initiative to drive success
