What we are looking for:
We're seeking a highly capable, proactive and solutions-focused Executive Assistant to provide high-level executive, coordination and advisory support to a Director. This is more than a traditional executive support role—it requires someone who can anticipate business needs, manage competing priorities, exercise sound judgement and build strong working relationships across the organisation.
Working with a high degree of autonomy, you'll play an integral role in enabling effective decision-making, driving operational efficiency and supporting the successful delivery of Directorate priorities.
What your day will look like:
- Proactively manage the Director's priorities, coordinating schedules, workflow and business operations to maximise efficiency and support informed decision-making.
- Be the trusted first point of contact for Directorate enquiries, including those from Councillors, providing accurate information and professional advice while building strong stakeholder relationships.
- Research, prepare and coordinate high-quality reports, briefings and correspondence, interpreting relevant legislation, policies and procedures to support sound decision-making.
- Coordinate Directorate initiatives and projects, working collaboratively with internal and external stakeholders to deliver successful outcomes.
- Drive continuous improvement by identifying opportunities to enhance administrative systems, governance processes and business practices.
- Resolve complex administrative matters using initiative, sound judgement and practical problem-solving skills.
- Support financial and resource management activities, including procurement processes, expenditure monitoring and financial reporting.

What you’ll bring:
We’re looking for someone who is an organised and adaptable professional who thrives in a fast-paced environment and enjoys working collaboratively to achieve outcomes. You will demonstrate:
- Experience providing high-level executive support in a complex organisational environment.
- Proven ability to manage competing priorities, coordinate workflows and exercise initiative while maintaining attention to detail.
- Experience researching, preparing and reviewing high-quality reports, briefings and correspondence.
- Excellent interpersonal and communication skills, with the ability to build trusted relationships with senior leaders, Councillors and a broad range of stakeholders.
- Strong problem-solving skills, sound judgement and the ability to handle sensitive information with discretion.
- Proficiency in Microsoft Office and corporate systems, with a focus on continuous improvement, governance and efficient business practices.
