About the Role
This role is responsible for managing information, documentation and stakeholder communications throughout the contract execution process. It supports clients and the business by keeping records accurate, coordinating key parties, monitoring transaction requirements and helping ensure matters progress smoothly and within required timeframes.
Key Responsibilities
· Manage and maintain business information, corporate records, correspondence, and related documentation.
· Coordinate communication between clients, institutional lenders, legal advisors, and other relevant parties.
· Monitor progress and follow up outstanding information, documents or actions required for completion.
· Review documentation for accuracy, completeness and consistency before final execution.
· Provide clients and internal stakeholders with clear updates, information and practical guidance on procedural requirements.
· Liaise with financial institutions to confirm approvals, funding conditions, drawdown requirements and settlement bookings.
· Prepare and maintain forms, file notes, status updates and routine correspondence as required
· Ensure records and operational activities are handled in line with relevant organisational, contractual and compliance requirements.
· Identify opportunities to improve workflows, information flow and coordination across stakeholders.
You will also bring:
· Demonstrated experience managing complex, multi-stakeholder business workflows, with primary responsibility for cross-functional communications and data integrity.
· Strong structural understanding of information tracking, data management, and compliance obligations within highly regulated environments.
· Exceptional communication and advisory skills, with a proven track record of acting as a centralized Liaison Officer between internal teams and external institutional partners.
· High attention to detail with the capability to audit, organize, and maintain complex information repositories and case records across multiple concurrent files.
· Experience preparing reports, briefings, file notes, and professional correspondence to optimize workflows and support management decision-making.
· Proficiency with relevant CRM, reporting or settlement platforms, such as PEXA or Mercury, is highly regarded but not essential.
