The Opportunity
We are seeking an experienced and highly organised Medical Secretary to join our dedicated team based at Wexford, Murdoch.
This is a dynamic role supporting our cardiologists by delivering exceptional administrative and patient care services. You will play a vital role in ensuring the smooth coordination of specialist clinics while providing a professional and compassionate experience for every patient.
Your primary location will be Wexford, with regular clinic support across Mount Hospital and Hollywood Private Hospital. Travel between Advara HeartCare sites is an essential part of this role, and you may also be required to provide short-term administrative support at other practices when needed.
Key Responsibilities
As a Medical Secretary, you will:
- Coordinate specialist appointments, clinic schedules and diary management
- Provide comprehensive administrative and personal assistant support to cardiologists
- Deliver exceptional customer service to patients, referrers and healthcare professionals
- Manage patient bookings, enquiries and correspondence
- Prepare patient quotes, process invoices and receipts, and respond to account enquiries
- Process Medicare, DVA and private health fund billing accurately
- Liaise effectively with hospitals, general practitioners and other healthcare providers
- Maintain accurate patient records using HealthTrack and other clinical systems
- Contribute to the efficient day-to-day operation of specialist consulting rooms
About You
To be successful in this role, you will bring:
- Minimum two years' experience as a Medical Secretary supporting medical specialists
- Demonstrated experience coordinating specialist clinics and managing complex schedules
- Strong knowledge of medical terminology (cardiology experience highly regarded)
- Experience using medical practice management software (HealthTrack experience is advantageous)
- Exceptional organisational skills with the ability to prioritise multiple tasks in a busy environment
- Excellent written and verbal communication skills
- Outstanding attention to detail and strong computer literacy
- Professional, compassionate and patient-focused approach
- Ability to build positive relationships with patients, specialists and healthcare stakeholders
- Current Australian Driver's Licence and willingness to travel between clinic locations
