About the Role
We are looking for a reliable, organised and detail-oriented 3PL Warehouse Operations Coordinator to support the daily operation of our warehouse.
This is an operations-focused office role within a third-party logistics warehouse, with the main responsibility of coordinating customer orders, processing operational emails and customer instructions, and arranging freight and transport bookings.
The role works closely with warehouse supervisors, operators, customers, transport providers and internal teams to ensure daily orders and customer requests are processed accurately and on time.
The successful candidate should have a good understanding of warehouse operations and be able to identify and record operational issues. Where an issue cannot be resolved directly, the Coordinator will be expected to communicate the situation clearly and escalate it to the Manager for further assistance.
Main Responsibilities
1. Daily Order Management & Planning
- Review and organise daily inbound and outbound orders.
- Prioritise orders based on urgency, customer requirements, cut-off times and warehouse workload.
- Arrange warehouse tasks for picking, packing, replenishment, dispatch and other customer requirements.
- Monitor order progress and follow up with warehouse staff to ensure completion.
- Identify urgent, delayed, held, error or incomplete orders.
- Adjust priorities when urgent customer requests or operational changes arise.
- Ensure orders are processed accurately and within the required timeframe.
- Keep clear records of outstanding or incomplete tasks and provide updates where required.
2. Email Order Processing & Customer Requests
- Monitor operational emails and identify customer orders, instructions and action requests.
- Receive and process order information provided through email.
- Review customer attachments including Excel files, PDFs, labels, shipping documents, photos and other instructions.
- Convert customer requests into clear and practical warehouse tasks.
- Handle special customer requirements such as urgent orders, priority dispatch, product checks, relabelling, repacking or photo requests.
- Confirm unclear or incomplete instructions before warehouse processing.
- Follow up customer requests and provide completion or status updates.
- Maintain clear and organised email records.
3. Freight Booking & Transport Coordination
- Arrange courier, freight and transport bookings for customer orders.
- Follow customer transport instructions and use nominated carriers where required.
- Prepare and verify delivery addresses, carton or pallet quantities, dimensions, weights and delivery requirements.
- Generate or check shipping labels, consignment notes and transport documentation.
- Coordinate pickup arrangements with warehouse staff and transport providers.
- Follow up missed pickups, delayed collections, delivery failures or other transport exceptions.
- Communicate transport status and issues to customers or internal teams.
- Assist with manual freight bookings and special transport requirements.
Skills & Experience
- Minimum 1 year of experience working in a third-party logistics (3PL) warehouse environment.
- Good understanding of daily warehouse operations.
- Experience handling or coordinating warehouse orders.
- Good computer skills and confidence using warehouse or business systems.
- Good written and verbal English communication skills.
- Ability to read and understand customer emails and operational instructions.
- Strong attention to detail, especially when handling order numbers, SKUs, labels, quantities and delivery information.
- Good organisational and time-management skills.
- Ability to manage multiple tasks and changing priorities.
- Good follow-up and communication skills.
- Ability to recognise when an issue should be escalated to a Supervisor or Manager.
- Basic to intermediate Microsoft Excel and Outlook skills.
