Full-time Project Administrator
Location: Hackham West, SA
Salary offered: $80,000 - $85,000 per annum plus superannuation

Orange Basket Community Services Limited (OBCS) is an Australian registered charity and not-for-profit organisation established to create meaningful employment pathways for people living with disability through structured, supported, and skill-based environments.
The organisation operates an Australian Disability Enterprise (ADE), delivering practical, hands-on training, mentoring, and employment opportunities within real workplace settings, particularly through social enterprise models such as café operations and laundry.

The Role:
As a Project Administrator, you are responsible for coordinating, supporting, and monitoring the implementation of community-based programs, social enterprise initiatives, and funded projects delivered by Orange Basket Community Services Limited.
The role ensures that projects are delivered in a structured, compliant, and timely manner, supporting organisational objectives, funding requirements, and community impact outcomes.
The position focuses on project coordination, documentation, stakeholder engagement, and administrative oversight to ensure effective and accountable program delivery.
Key Responsibilities:
Project Administration and Coordination
- Coordinate and support the implementation of community-based programs and funded initiatives in alignment with organisational objectives
- Monitor project timelines, milestones, and deliverables to ensure activities are completed within agreed parameters
- Identify and track risks and issues, escalating where required to support effective project delivery
- Maintain structured project plans, schedules, and tracking tools
Documentation and Reporting
- Prepare and maintain project documentation, reports, and records to support accountability and compliance
- Assist in the preparation of internal and external reports for management, stakeholders, and funding bodies
- Ensure accurate record-keeping and data management across all projects
- Maintain organised filing systems and reporting frameworks
Grants, Funding and Submissions
- Assist in the preparation of grant applications, funding submissions, and supporting documentation
- Coordinate inputs from stakeholders to support high-quality submissions
- Track funding requirements, reporting obligations, and deliverables
Stakeholder Engagement and Coordination
- Liaise with internal and external stakeholders including community partners, suppliers, and funding bodies
- Coordinate communications to support project delivery and stakeholder alignment
- Support relationship management to ensure effective collaboration
Events and Community Initiatives
- Coordinate organisational events, community initiatives, and program activities
- Manage logistics including scheduling, venue coordination, suppliers, and materials
- Support delivery of initiatives that align with organisational objectives and community engagement
Fundraising and Organisational Support
- Coordinate fundraising initiatives and related activities
- Assist in the development of donor and sponsorship materials
- Support stakeholder engagement to strengthen organisational sustainability
Community Engagement and Communication
- Coordinate community engagement initiatives that promote inclusion and participation
- Prepare and manage communication materials including newsletters, updates, and promotional content
- Support social media and communication activities aligned with organisational programs
- Contribute to initiatives that increase awareness and accessibility of services
Systems, Compliance and Continuous Improvement
- Maintain accurate records, schedules, and reporting systems
- Ensure activities align with organisational policies, procedures, and compliance requirements
- Contribute to process improvements and system enhancements
- Support audit readiness through structured documentation and record management
What We’re Looking For:
We are looking for a Project Administrator who has:
Qualifications and Experience
- Qualification in project management, community services, or a related field - Associate Degree, Advanced Diploma or Diploma minimum, or at least 3 years full time work experience in lieu
- At least 12 months full time demonstrated experience in project coordination, administration, or program support
Skills and Competencies
- Strong organisational and time management skills
- Ability to coordinate multiple projects and priorities simultaneously
- High level of written communication and documentation skills
- Attention to detail and accuracy in record-keeping and reporting
- Ability to work independently and within a team environment
- Strong stakeholder engagement and coordination skills
Knowledge
- Understanding of community-based programs, not-for-profit operations, and social enterprise models (desirable)
- Knowledge of compliance, reporting, and governance requirements within a regulated environment
- Knowledge of the NDIS Practice Standards, including their application to service delivery, documentation, and organisational compliance
- Understanding of disability support work practices, including person-centred approaches, safeguarding, dignity of risk, and participant rights
