We’re looking for a Preschool Administration Support Officer who thrives in a busy, people-focused environment and takes pride in delivering accurate, responsive and organised support. This role is suited to someone who enjoys building positive relationships, managing competing priorities and helping a preschool team provide a high-quality experience for children and families.
Reporting to the Preschool Director, this part-time, fixed-term parental leave cover position plays a key role in supporting Preschool operations, client administration, documentation and compliance.
The role works two days per week on Mondays and Tuesdays for 12 months, with an expected end date in September 2027. There may be opportunities to stay on beyond the fixed term, depending on workplace demands.

What Success Looks Like in This Role
Success in this role will be measured through responsive client service, accurate administration, strong organisation and contribution to Preschool operations.
In this role, you will:
Client and Family Administration
- Respond to phone, email, web and in-person enquiries from new and existing families in a timely and professional manner.
- Support the client lifecycle, including waitlists, expressions of interest, enrolments, bookings, invoicing, subsidies and debt management.
- Maintain accurate client records and update Salesforce, Xplor FinancialForce and other relevant systems within required timeframes.
Documentation, Compliance and Operations
- Maintain policies, procedures, risk registers, staffing records and day-to-day Preschool documentation accurate, current and available as required.
- Prepare meeting agendas, minutes, reports, newsletters, presentations, forms and information for funding bodies, agencies and government portals.’
- Coordinate supplies, maintenance, repairs, events, programs and emergency drill documentation in collaboration with the Preschool leadership team.
Team & Operational Contribution
- Work closely with the Preschool Director, Preschool team leader/s staff, therapists, families, internal teams, schools, suppliers and external stakeholders.
- Follow established processes while contributing practical ideas that improve efficiency, service quality and ways of working.
- Maintain confidentiality, privacy, safety and a high standard of customer service across all interactions and records.
- Support the early education department with administrative tasks, including tasks in Prep4 Preschool and Sector Capacity Building.
About You

You will bring:
- 3 or more years’ experience in an administrative role
- High-level written and verbal communication skills
- Proficiency in Microsoft Office, SharePoint and Teams or Zoom
- Strong organisational and time management capability
- Excellent customer service and interpersonal skills
- Strong attention to detail, confidentiality and accountability
- Ability to manage competing priorities and meet time-sensitive deadlines
- A proactive, collaborative and positive approach to work
You’ll stand out if you:
- Have experience using Salesforce or a similar client management system
- Have experience working with the National Quality Framework or in an early childhood setting
- Have experience using an early childhood CCMS system
- Are confident learning new systems, portals and administrative processes
