Our Direct-to-Consumer (DTC) and Wine Club operations sit at the heart of our brand experience. We are seeking an energetic, organised, and customer-focused Wine Club Coordinator to drive the growth, retention, curation, and elevated VIP experiences for our valued members.
As the
Wine Club Coordinator, you will be the driving force behind our
De Bortoli Wine Club (DBWC) and
Private Cellar direct-to-consumer programs.
Working closely with Leanne De Bortoli, the DTC team, Marketing, and Cellar Door teams across multiple locations, you will oversee everything from wine pack curation and digital communications to exclusive member events, staff incentive programs, and backend systems management.

Pack Releases: Collaborate on selecting and curating balanced, high-appeal wine packs for major routine releases (April and October), including coordinate tasting notes, winemaker insights, and food pairings.
Website & E-Commerce Management: Maintain the DBWC and Private Cellar websites, ensuring 100% accuracy in product creation, pricing, and pack setups.
Fulfillment Oversight: Manage member account adjustments, invoicing, declined payments, and order dispatch via CRM/POS systems. Coordinate with logistics partners (e.g., Australia Post) striving for seamless delivery and under 1% breakage.

VIP Concierge: Act as the primary touchpoint for member inquiries, bespoke requests, and order adjustments, providing swift and exceptional customer service.
Communications: Create and dispatch engaging monthly EDMs, newsletters, release announcements, and re-order reminders (leveraging tools like Klaviyo).
Onboarding & Retention: Welcome new members immediately with gifts and details on benefits, while proactively implementing retention strategies to keep churn minimal.

Event Management: Plan, market, and execute an inspiring annual calendar of member events (e.g., barrel tastings, pickup parties, winemaker dinners, and special member experiences).
Cross-Site Synergy: Train hospitality and cellar door teams across all sites to deliver seamless VIP recognition and premium perks for members.
Incentives & Growth: Design and roll out creative cellar door staff incentive programs, referral campaigns, and contests to boost on-site membership sign-ups.

Relevant Experience: 2+ years in wine clubs, DTC sales, hospitality, or direct marketing.
Wine Passion: Solid understanding of winemaking and varietals (WSET or Sommelier qualifications a plus).
Tech Skills: Hands-on experience with POS, CRM, e-commerce, or email platforms (e.g., Klaviyo, Magento).
Organization & Events: Proven ability to manage event logistics, vendors, and detailed member data.
Requirements: Valid Driver's Licence, current RSA, and flexibility to work occasional weekends/evenings for events.
