Primary objective
Provide comprehensive, confidential, administrative support to the Executive and work unit, including administrative
coordination and Ministerial Liaison support
Context statement
Teaching and Learning Services (TLS) provides evidence-based differentiated services and support to schools to maximise
outcomes for Territory children and young people. Our services encompass quality teaching and learning, national and
systemic assessment, transition to boarding school support and policy coordination. TLS also plays a strategic role in
implementing government priorities, offering expert advice to the Minister for Education and Training and the department’s
senior executives. We enhance our work by actively engaging with a broad range of stakeholders to ensure best outcomes
for all our clients.
Key duties and responsibilities
1. Provide comprehensive administrative support to an executive which may include:
- Providing high level secretarial support including minute taking and logistical support to working groups, committees
and events/functions.
- Monitoring all communication channels in and out of the Executive’s office, including email and diary management,
scheduling meetings and travel arrangements
- Maintaining appropriate administrative systems, registers, processes, databases and record management ensuring
effective and efficient workflows within the unit
- Managing a range of procurement functions including travel arrangements, purchasing and processing credit card
transactions
- Supporting working groups, committees and for events/functions the Executive/ work unit are involved with.
2. Liaise in a discreet and confidential manner with a wide range of people including but not limited to; all levels of staff
within the agency, the Minister’s office, external stakeholders and the general public.
Selection criteria
Essential
1. Demonstrated experience providing administrative support to a senior leader or executive, including managing
calendars, scheduling meetings, handling correspondence and maintaining confidential files and records.
2. Proficient in the use of MS Office (Word, Excel, Outlook, Teams and PowerPoint) and record management systems with
a willingness to adopt new technology.
3. Well-developed professional, interpersonal and influencing skills with the ability to communicate (both written and
verbally) with a diverse group of stakeholders and build positive working relationships with other executives and staff.
4. Prior experience operating in a fast paced environment with strong organisational and time management skills with the
flexibility to handle changing priorities and work independently with minimal supervision.
5. Attention to detail with ability to delegate and escalate issues, develop creative solutions and seek out positive
improvements
