Join our Melbourne team as an Administrator/Office Assistant and take centre stage in shaping a vibrant, connected, and high-performing workplace. As part of the heartbeat of the office, you’ll go beyond day-to-day operations to champion employee engagement and connection and play a key role in strengthening how our teams connect and collaborate. What you'll be doing:
- Support the day-to-day operations of the office, ensuring a well-functioning and professional workplace
- Take initiative in making sure everyone feels welcome, involved, and energised
- Act as the primary point of contact for visitors and guests on arrival to reception and introduce them to the office and amenities
- Front desk responsibilities
- Organise all office repairs & maintenance and ensure office supplies are adequately stocked
- Organise travel and accommodation bookings as requested including assisting employees with the travel booking system
- Coordinate employee gifts, functions, office catering, book conferences, seminars and client events
- Support the social committee in organising social events for the team
- Ensure office is compliant with local building codes, safety regulations, and sustainability initiatives
- Maintain a safe workspace and adhere to WHS policies and procedures (including the management of PPE, white cards and EMS systems)
- Provide new starters with a positive onboarding experience including office tour, WHS matters, introducing to team members and general support in their first weeks
Who we're looking for:
Previous experience in an administrative role
An interest in designing eye-catching communication material (that goes beyond email) is highly desirable
Can do attitude and ability to solve problems
Excellent attention to detail
Intermediate MS Office skills (Outlook, Word, PowerPoint, Excel)
Ability to prioritise incoming work appropriately and multi task
Excellent verbal and written communication skills
Excellent organisational and time management skills
