The Team
The Receptionist role will be working with the operations team that provide support across the Melbourne office. As the hub of the office, the Receptionist plays a key role in creating a professional and welcoming environment, supporting employees, clients, and visitors while helping ensure the office operates seamlessly. How you will contribute
Front of House & Reception
- Provide a professional and welcoming experience for clients, visitors, candidates, suppliers, contractors, and employees.
- Greet visitors, coordinate arrivals, and liaise with meeting hosts.
- Manage incoming calls, direct enquiries, take messages, and maintain confidentiality at all times.
- Handle visitor management, office access passes, and general reception duties.
Office Operations & Facilities
- Ensure the Melbourne office remains organized, safe, professional, and functioning effectively.
- Act as the primary point of contact for facilities and workplace-related matters.
- Coordinate maintenance, repairs, and supplier services
- Monitor office spaces, meeting rooms, kitchens, and communal areas to maintain high presentation standards.
- Manage office supplies, stationery, and workplace consumables, including sourcing, ordering, and stock control.
Meeting Rooms & Client Services
- Manage meeting room bookings and calendars, ensuring efficient room utilization and resolving scheduling conflicts.
- Prepare meeting rooms for client meetings, interviews, workshops, inductions, and internal events.
- Coordinate catering, refreshments, and hospitality requirements.
- Maintain meeting spaces, ensuring rooms are fully equipped, presentable, and ready for use.
Workplace Technology Support
- Serve as the local point of contact for day-to-day workplace technology requirements.
- Provide basic troubleshooting support and coordinate escalations with IT teams.
- Support the distribution, collection, and management of laptops, mobile devices, SIM cards, and other office technology.
- Coordinate equipment maintenance, replacements, deliveries, and returns.
Employee Experience
- Support the office component of employee onboarding and offboarding.
- Assist new employees with office orientation, workstation setup, building access, and first-day logistics.
- Coordinate the return of company equipment and workplace access upon employee departure.
- Organize employee headshots and provide assistance with office celebrations, team events, and engagement activities.
Administration & Vendor Management
- Manage incoming and outgoing mail, deliveries, and courier services.
- Coordinate supplier relationships, quotes, service requests, and contractor attendance.
- Communicate office updates and operational information to employees as required.
Qualifications
- 5 years' experience in Reception, Office Coordination, Workplace Experience, Hospitality or Administrative role.
- Exceptional customer service and communication skills.
- Strong organizational abilities with excellent attention to detail.
- Ability to manage competing priorities and respond effectively to last-minute requests.
- Proactive, solutions-focused, and comfortable working independently.
- Proficiency with Microsoft Office and meeting room booking systems.
- Professional presentation and a positive, approachable manner.
