Our main clinic located in Bacchus Marsh and we are seeking a professional, organised, and friendly Receptionist / NDIS Administration Officer to join our team and become the welcoming face of our second brand new clinic in Williams Landing VIC.
About the Role
As the Intake & Administration Officer, you will be the first point of contact for participants, families, clinicians, and stakeholders visiting or contacting our clinic. You will play a vital role in ensuring the smooth day-to-day operation of the clinic through effective administration, scheduling, and customer service support.
This role is ideal for someone with strong organisational skills, excellent communication abilities, and experience working within the NDIS, healthcare, allied health, or community services sector.
Key Responsibilities
- Greet participants, families, and visitors in a professional and welcoming manner.
- Manage incoming phone calls, emails, and general enquiries.
- Schedule and coordinate appointments for allied health clinicians along with the operations team support.
- Assist with participant onboarding and collection of required documentation.
- Prepare and manage service agreements and administrative paperwork.
- Maintain accurate participant records within the CRM and practice management systems.
- Support clinicians with appointment management, reporting workflows, and administrative tasks.
- Process referrals and liaise with support coordinators, schools, healthcare providers, and families.
- Monitor clinician schedules and assist with diary management.
- Follow up outstanding documentation, reports, and invoices where required.
- Assist with general office administration, filing, scanning, and record management.
- Ensure reception and clinic areas remain organized and professional.
- Support the operations team with ad hoc administrative duties.
Essential Requirements
- Minimum 1 year experience in administration, reception, customer service, healthcare administration, or NDIS-related roles in a similar setting.
- Excellent verbal and written English communication skills.
- Strong organisational and time-management abilities.
- High attention to detail and accuracy.
- Ability to multitask and work in a fast-paced environment.
- Strong computer skills including Microsoft Office and CRM systems.
- Professional presentation and customer-focused attitude.
- Australian work rights.
Desirable
- Experience working within the NDIS sector.
- Knowledge of NDIS funding, service agreements, and participant onboarding processes.
- Qualification in Business Administration, Community Services, Disability, Health Administration, or a related field.
- Current Driver's Licence.
