We are seeking an experienced and motivated individual to provide high-quality administrative support across the Community Services division. This role is responsible for coordinating annual funding programs, supporting projects and events, and delivering exceptional customer service across a diverse range of community-focused services.
The Community Services division includes the Art Gallery, Civic Theatre, Library, Community Development, Cultural Services, Museum, and Visitor Economy & Events teams.

Your new role
As the Community Services Project & Administration Officer, you will provide efficient administrative support while contributing to the successful delivery of funding programs, projects and events. You will:
- Deliver exceptional, memorable customer service while providing efficient and effective administrative support to the Community Services division.
- Administer Council’s Annual Grants program and ClubGRANTS Category 1
- Prepare draft correspondence, reports, presentations and media articles
- Prepare agendas and minutes for meetings.
- Maintain confidential information and systems
- Undertake administrative duties including travel arrangements, reconciliations and purchase requisitions.
- Contribute toward the planning and delivery of workshops and events across the division
- Coordinate contractors and suppliers to deliver services
- Utilise and maintain databases and electronic records systems
- Undertake research for use in reports and submissions
- Editing and proofreading business documents; internal and external communications
- Support the delivery of front of house services at various locations across the division on an adhoc basis
- Support the Executive Assistant, Cultural Officer and other teams within the division as required
About you
To be successful in this role, you will have:
- Qualifications in business administration (or a related discipline) and demonstrated experience in an administrative role.
- Excellent organisational and time management skills with the ability to manage competing priorities.
- Strong written and verbal communication skills, including experience preparing business correspondence and reports.
- High attention to detail and the ability to maintain confidentiality.
- Well-developed customer service and stakeholder engagement skills.
- Proficiency in Microsoft Office and experience using electronic records management systems and business applications.
- The ability to work both independently and collaboratively within a team environment.
- A current Class C Driver's Licence.
