As the Receptionist at our Melbourne office, you will provide outstanding customer service and administration support to all internal and external stakeholders and be the first point of contact for clients and visitors, helping create a welcoming and efficient front office environment.
What you'll be doing day to day
- First point of contact for employees, vendors, suppliers, couriers, contractors and visitors including managing their access using the available systems
- Assist with office event planning (i.e. end of month drinks, Christmas parties, team events, board meetings etc)
- Manage access control and security including issue of access cards and conduct monthly accuracy audits
- Arrange courier and mail pickups/deliveries for Vocus teams
- Facilitate any repairs/work that need to be done (i.e. air conditioning, lights, bathrooms, lifts) and effectively provide ongoing updates as to the status as by instruction of Office Manager
- Assist the Office Manager in managing Fire Warden/First aid training and maintenance
- Manage the stock and storage areas for stationary, kitchen supplies and ensure stock is kept at appropriate levels
- Manage incoming calls (very few) and divert to the correct area within the business
- Develop effective relationships with personnel of other departments
- Support other offices where required.
What you'll bring to the role
- Experience in a receptionist, administration, customer service or similar role
- Experience with Microsoft Office (Outlook, Word, Excel)
- Excellent professional presentation and interpersonal skills
- Punctuality, reliability, and excellent time management skills
- Good written and verbal communication skills
- Strong common-sense approach and problem-solving skills.
