A Project Coordinator needed to supports the planning, coordination, and administration of flooring and renovation related projects across the business. The role is responsible for coordinating project information, maintaining records, following up suppliers and subcontractors, monitoring delivery and installation schedules, and supporting communication with customers from order stage through to completion. The position works closely with management to keep projects organised, schedules updated, materials available, and customer requirements properly recorded.
Tasks:
- Coordinate projects from commencement to completion by maintaining schedules, tracking progress, and following up outstanding actions with customers, suppliers, subcontractors, and internal staff.
- Prepare, organise, and update project documentation including quotations, customer selections, purchase details, site information, delivery schedules, installation dates, and project correspondence.
- Liaise with customers to confirm selections, site readiness, access details, delivery arrangements, installation timing, and any changes affecting project progress.
- Coordinate with suppliers to follow up product availability, lead times, order progress, delivery dates, and supply issues that may affect project schedules.
- Liaise with subcontractors and installers to arrange attendance, communicate project requirements, confirm work schedules, and monitor progress against planned timeframes.
- Support management with project planning by gathering information on materials, quantities, scheduling requirements, job status, and issues requiring attention.
- Maintain accurate project records and document control so that approvals, communications, order details, delivery information, and related documents are complete and accessible.
- Monitor project progress and report delays, variations, missing information, site issues, or delivery problems to management in a timely manner.
- Support coordination between sales and operations so that project information is transferred accurately from enquiry and quotation stage into ordering, delivery, and execution.
- Prepare project status updates for management and maintain a high standard of administrative accuracy and customer communication across active jobs.
Pay: $78,000.00 – $98,000.00 per year
