With a strong pipeline of work across the Fuels and Energy sector, we are seeking an experienced Project Administrator to support site-based delivery in Gladstone. This is a casual position with the potential to transition into a longer-term opportunity.
This role is ideal for an administrator with shutdown and mobilisation experience, who thrives in fast-paced, site-driven environments and is confident supporting compliance, workforce coordination, and project controls.
About the role
You will play a key role supporting project and shutdown delivery teams with a strong focus on workforce coordination, compliance, and site readiness. Your responsibilities will include:

Supporting shutdown and mobilisation activities, including onboarding, site readiness, and workforce coordination

Managing timesheets and payroll inputs, ensuring accuracy and timely submission

Maintaining and updating training matrices, ensuring workforce compliance and site access requirements are met

Coordinating compliance documentation, inductions, and project-related records

Raising and managing purchase orders (POs), tracking expenditure, and liaising with internal procurement teams

Assisting with project documentation, reporting, and general administration support

Coordinating logistics for personnel, including travel, accommodation, and mobilisation scheduling

Liaising with site teams, project managers, and internal stakeholders to ensure smooth project delivery

Ensuring timely follow-up on outstanding actions, compliance requirements, and deadlines
What we’re looking for

Proven experience as a Project Administrator in site-based environments, ideally within Oil & Gas, Energy, Utilities, or Heavy Industry

Strong exposure to shutdowns and/or mobilisation activities

Experience managing timesheets, compliance processes, and workforce coordination

Confidence maintaining training matrices and tracking workforce competencies

Experience with purchase orders and basic procurement processes

Strong systems capability (SAP or similar ERP systems, MS Office, SharePoint)

Highly organised with strong attention to detail and ability to manage competing priorities

A proactive, hands-on approach with strong communication skills
