We are seeking a highly organised Legal & Commercial Administrator to join a busy property business based in Melbourne CBD , supporting the Asset Management, Legal and ESG teams. This is a hands-on, varied role where you will be central to keeping operations running smoothly and ensuring key administrative, legal and reporting processes are delivered accurately and on time. Working closely with senior stakeholders, you'll play a key role in coordinating documentation, contracts, reporting, meetings and compliance activities across multiple business functions.
Responsibilities
What you’ll be doing
- Provide high-level support to senior leaders including diary management, meeting coordination and document preparation
- Coordinate meetings end-to-end including agendas, minutes and action tracking
- Prepare reports, presentations and supporting documentation across multiple business areas
- Support asset performance reporting by collating leasing, occupancy and financial data
- Assist with contract administration including document preparation, formatting and execution processes
- Maintain legal registers, track key dates and obligations, and support compliance requirements
- Liaise with external legal providers and support invoice processing and legal systems
- Assist with ESG reporting including utilities, waste and contractor data collection
- Support NABERS, tenant reporting and annual ESG submissions including Modern Slavery reporting
- Coordinate ESG-related information requests across internal and external stakeholders
- Provide general administrative support across the division including invoicing, document control, events and training coordination
Support system and process improvements to improve efficiency and consistency across teams

Your Profile
- Experience in administration, legal support or property coordination roles
- Strong attention to detail and ability to manage multiple priorities
- Excellent communication and stakeholder management skills
- High level of discretion when handling confidential information
- Confident in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Organised, proactive and comfortable in a fast-paced environment
- Experience in property, legal or corporate environments highly regarded
- Certificate IV or Diploma in Business Administration (or similar) preferred
