About the business/role/team
The IT Vendor and Asset Management team is seeking a detail-oriented and commercially aware Asset Renewal Specialist to join our team to coordinate and optimise renewals of the organisation’s IT assets, including hardware support, software licences, subscriptions, warranties, and maintenance agreements.
About the role
Manage renewal pipeline including validating requirements against the RBA’s technology roadmap to inform decisions to renew, replace, consolidate or retire.
Optimise total cost of ownership by analysing usage, demand, spend, and contract terms to support timely, commercially sound renewal decisions
Support lifecycle processes for licensing, maintenance, warranties, subscriptions, compliance, and disposal
Ensure business continuity, constrain risk and support obsolescence management leveraging accurate asset data records
About you
The ideal candidate will possess strong organisational and analytical skills, sound commercial judgement, and a solid understanding of software licensing arrangements, IT asset lifecycle management, contract terms, and renewal processes.
Responsibilities
Maintain and proactively monitor asset expiry dates, notice periods, product and pricing changes to inform financial forecasting and prevent service lapses or unplanned auto-renewals
Collaborate with procurement, finance, legal, security, and service owners to coordinate timely, compliant, and commercially sound renewals.
Engage with vendors to obtain quotes, clarify license SKU’s, license metrics and support align to requirements and make recommendations to service owners to achieve value for money outcomes
Manage RFQ process against related panels, administer the panel and develop monthly transaction reporting to monitor demand and spend analysis
Identify product terms and conditions, validate these are captured in contracts/SOW’s and facilitate legal review
Update asset records, identify notice periods and audit obligations. Generate reports and engage with system owners to ensure obligation are met.
Stay informed on market trends and renewal best practice to support development of negotiation strategies
Provide Secretariat services for Monthly Committee meetings and Strategic Business Review meetings
Requirements
5+ years of experience in IT asset management, renewals management, procurement, contract administration, or a related field
Advanced experience maintaining accurate renewal schedules, contract records, asset registers, and related data repositories.
Proficiency with asset, contract, procurement, or service management tools.
Excellent analytical and problem-solving skills, with the ability to assess data, risks, and commercial options and make informed recommendations.
Strong communication and stakeholder management skills, with the ability to collaborate effectively across cross-functional teams and with vendors.
Strong attention to detail and accuracy in managing renewal data, contract documentation, and financial information.
Ability to manage multiple renewal timelines, adapt to changing priorities, and work independently in a fast-paced environment.
Qualifications
ITIL Foundation 4
ITAM Foundation Certification
CSAM/CHAM/ Cloud Asset Management certifications
Advanced skills in Excel, SharePoint, and Visio for renewal tracking, analysis, workflow management, and reporting
Minimum Cert IV in Procurement and Contract Management
