We are seeking an experienced Medical Receptionist to join our growing team. This role is ideal for someone who is organised, friendly, proactive and able to thrive in a busy medical practice.
Position Summary
The Medical Receptionist is the first point of contact for patients and plays a critical role in creating a positive patient experience. The successful applicant will be responsible for managing front desk operations, patient bookings, billing, administration and supporting the clinical team to ensure the smooth running of the practice.
Previous experience using Best Practice software is essential and applications without this experience will not be considered.
Key Responsibilities
Reception & Customer Service
- Greet patients and visitors in a professional and welcoming manner.
- Answer incoming telephone calls and respond to enquiries.
- Manage patient appointments using Best Practice and HotDoc.
- Assist patients with appointment scheduling, recalls and reminders.
- Maintain patient confidentiality and privacy at all times.
- Handle patient concerns professionally and escalate when required.
Administration
- Register new patients and update patient demographic information.
- Scan, upload and manage incoming clinical correspondence.
- Process referrals, results and other medical documentation as directed.
- Maintain accurate electronic patient records.
- Perform daily administrative and clerical tasks.
Billing & Financial Duties
- Process private billing, Medicare claims and EFTPOS transactions.
- Reconcile daily banking and payment records.
- Manage outstanding accounts and payment enquiries.
- Ensure accurate billing procedures are followed.
Clinical Support
- Assist clinicians with administrative requests.
- Manage incoming referrals and specialist correspondence.
- Support recall and reminder systems.
- Assist with practice accreditation requirements and quality improvement activities.
Essential Selection Criteria
- Minimum 12 months experience as a Medical Receptionist within General Practice.
- Demonstrated experience using Best Practice Software.
- Excellent verbal and written communication skills.
- Strong customer service skills and a patient-focused approach.
- High level of computer literacy.
- Ability to multitask and prioritise competing demands.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Professional presentation and attitude.
- Reliable and punctual.
Desirable Criteria
- Experience using HotDoc.
- Understanding of Medicare billing and MBS item numbers.
- Knowledge of private billing processes.
- Experience within a private general practice environment.
- Understanding of AGPAL accreditation standards.

Pay: $29.00 – $35.00 per hour
Work Location: In person
