Administration & Accounts Assistant
Full-Time Position
We are looking for a friendly, organised and reliable Administration & Accounts Assistant to join our busy office.
This is a varied role suited to someone who is confident speaking with clients, highly organised, good at following up information and comfortable assisting with day-to-day accounts using Xero.
About the Role
Your day-to-day responsibilities will include:
- Answering incoming phone calls and directing calls to the appropriate team member
- Speaking with clients and providing general updates on their projects
- Taking clear messages and ensuring they are passed onto the correct person
- Following up team members, consultants and other parties to obtain project updates
- Keeping clients updated and ensuring communication doesn't get missed
- Managing and responding to general emails
- General office administration and data entry
- Creating and sending invoices through Xero
- Entering bills and expenses into Xero
- Following up outstanding accounts and payments
- Reconciling transactions and assisting with general bookkeeping/accounts
- Keeping client and project information organised and up to date
- Assisting the team with general administrative duties as required
About You
We are looking for someone who:
- Has previous administration and/or accounts experience
- Has experience using Xero accounting software
- Is confident and professional on the phone
- Has strong communication and customer service skills
- Is organised and able to manage multiple tasks at once
- Is comfortable following people up and getting the information they need
- Takes initiative rather than waiting to be told what to do
- Has good attention to detail
- Is reliable and works well as part of a team
- Has good computer skills, including email and Microsoft Office
Experience within a building design, construction, property, planning or professional services office would be highly regarded but is not essential.

Pay: $52,880.00 – $89,068.57 per year
