Job Summary
We are a growing independent vehicle rental business seeking an experienced Office Manager to oversee operations across our Greater Sydney branch network. This role blends daily office administration, local fleet logistics, financial tracking, and team leadership. You will ensure our passenger cars and commercial trucks remain compliant, well-maintained, and highly profitable while delivering exceptional local customer service.
Core Responsibilities
- Financial Administration: Process daily customer rental invoices, manage security deposit pre-authorisations, reconcile bank statements exclusively via MYOB Business / AccountRight, manage payroll, and chase outstanding commercial hire accounts.
- Fleet Logistics & Compliance: Coordinate vehicle registration renewals, Transport for NSW pink/blue slip inspections, toll account management (Linkt/E-Toll), and scheduled servicing with local mechanics.
- Contract & Legal Verification: Ensure all staff meticulously check driver’s licenses (including international permits), verify proof of local Sydney addresses, and enforce strict compliance with rental agreement terms and insurance policy rules.
- Team Supervision: Lead and roster front-counter rental clerks, manage local detailers/groomers, and act as the primary point of escalation for customer booking disputes or roadside assistance incidents.
- Supplier & Vendor Management: Source and order office supplies, cleaning chemicals, and mandatory in-vehicle equipment like GPS units, safety triangles, and child restraints.
Requirements & Qualifications
- Technical Skills: Advanced, hands-on proficiency with MYOB AccountRight is mandatory. Must be confident handling accounts payable/receivable, bank feeds, and end-of-month reporting within this specific platform.
- Experience: 2+ years in an office management or senior operations role, ideally within a car rental agency, dealership, logistics depot, or automotive workshop.
- Local Regulations: Familiarity with NSW transport rules, toll networks, and basic automotive maintenance cycles.
- Driver’s License: A valid, unrestricted NSW C-Class driver's license (or higher) with a clean driving record is essential.
- Traits: Excellent communication skills, calm under pressure during peak rental hours, and strong commercial problem-solving abilities.
- WFH is not an option in this role
Pay: $80,000.00 – $95,000.00 per year
