This is an exciting opportunity to join Stockland's Residential Sales team and play a key role in supporting our growing Wholesale business across Western Australia and Victoria. As the Wholesale Coordinator & Contract Administrator, you'll be at the centre of our wholesale operations, providing critical support across contract administration, stock and lot allocation management, reporting and forecasting, builder partner coordination, and wholesale sales processes.
This role is based onsite five days per week in our Perth Head Office.
Working closely with the Sales Managers and External Stakeholders, you'll help ensure seamless transaction management, accurate reporting and outstanding service delivery to our builder partners.

What You'll Do
As the Wholesale Coordinator & Contract Administrator, you'll provide operational and administrative support to the Wholesale team, ensuring contracts, lot allocations, settlements and reporting activities are managed accurately and efficiently.
Contract & Governance Management
- Manage wholesale contracts including Nominee Agreements, Development Deeds, Accretion Deeds and Put & Call Options.
- Process wholesale sales documentation and ensure compliance with agreed timelines and governance requirements.
- Track contract milestones, settlement dates and marketing periods to support project and financial outcomes.
Stock & Allocation Management
- Manage lot allocations and product availability across multiple projects.
- Maintain accurate stock lists, pricing schedules and allocation records.
- Coordinate exclusive lot management for ABN arrangements in WA and VIC.
- Ensure internal stakeholders and builder partners have access to current stock information.
Reporting, Analytics & Forecasting
- Prepare performance reports, pipeline reports, settlement forecasts and builder partner reviews.
- Analyse data from Salesforce, CTS and other systems to support business decision-making.
- Maintain accurate forecasting and pipeline tracking to support commercial outcomes.
Builder Partner & Stakeholder Coordination
- Act as a key liaison between Stockland and external builder partners.
- Coordinate communications, documentation and ongoing relationship management activities.
- Work closely with Sales, Wholesale, Marketing and Legal teams to support business objectives.
Operational Support & Process Improvement
- Support meetings, presentations, forecasting activities and project working groups.
- Maintain CRM data integrity and reporting accuracy.
- Identify opportunities to improve processes, systems and operational efficiency.
- Provide broader administrative and operational support across the Wholesale team.
About You
You're a highly organised professional who enjoys managing detailed processes and ensuring nothing falls through the cracks.
You build trusted relationships with a wide range of stakeholders and have a natural ability to balance competing priorities while maintaining a strong focus on accuracy and service delivery.
You'll be comfortable working with contracts, data and reporting, while also playing a key role in supporting commercial outcomes and driving operational excellence.
Experience & Skills That Count
- Experience in contract administration, sales administration, vendor management or a similar coordination role.
- Exposure to the property, development, construction, real estate or customer-focused sectors.
- Strong contract administration and document management capability.
- Advanced Microsoft Excel skills and experience preparing reports and analysing business data.
- Experience using CRM systems, ideally Salesforce.
- Strong stakeholder management and communication skills with the ability to build effective working relationships.
- High attention to detail, strong organisational skills and the ability to manage multiple priorities.
- Understanding of land development, construction stages and settlement processes will be highly regarded.
