The Role
As the subject matter expert and platform owner for NGS Super’s workflow management platform, this role plays a key part in improving the way teams manage work, collaborate and deliver outcomes.
You will be responsible for the administration, configuration, governance and continuous improvement of the platform, working closely with stakeholders to translate business needs into practical workflows, automations, templates, dashboards and user support practices.
This is a 12-month fixed-term contract based at our Sydney head office.
What you’ll do
- Administer and maintain NGS Super’s workflow management platform, ensuring optimal performance and reliability.
- Manage user access, permissions, security, and platform governance standards.
- Oversee integrations between workflow tools and other business systems.
- Partner with stakeholders to understand requirements and translate business processes into effective digital workflows.
- Design, build, configure, and deploy workflows, automations, templates, and dashboards.
- Continuously review and enhance workflows to improve efficiency, consistency, and user experience.
- Develop and deliver engaging training programs, guides, and support materials for users.
- Act as the first point of contact for user support, troubleshooting, and platform adoption.
- Monitor platform usage, performance, and adoption, providing insights and reporting on key metrics.
- Identify and implement continuous improvement opportunities through workflow optimisation, audits, and user feedback.
About you
- A creative thinker who can translate complex business needs into simple, effective workflows, you will bring the following:
- Demonstrated experience administering and optimising workflow management platforms in a business environment.
- Strong understanding of workflow design, business process mapping, and process improvement methodologies.
- Experience developing and delivering engaging training programs, user guides, and support materials.
- Proven ability to troubleshoot complex issues and deliver practical, user-focused solutions.
- Excellent communication and stakeholder engagement skills, with the ability to build strong relationships across all levels of the organisation.
- High attention to detail, with a strong focus on data integrity, system governance, and quality outcomes.
- Ability to manage multiple priorities, work autonomously, and deliver results in a fast-paced environment.
- Strong organisational skills with the ability to coordinate competing demands and meet deadlines.
- Customer-focused and approachable, with a passion for supporting and enabling users with varying levels of technical expertise.
- Continuous improvement mindset, with a proactive approach to identifying opportunities to enhance workflows, processes, and user experience.
Nice to have but not essential:
- Experience with a range of workflow management tools, with ClickUp experience a major bonus.
- Familiar with process improvement methodologies (e.g. Lean, Six Sigma)
- Experience with integrations and APIs
- Knowledge of change management principles
