About Link Drive
Link Drive Australia is a growing car rental company based in Brooklyn, in Melbourne’s west. We hire vehicles to both retail and business customers, and we pride ourselves on straightforward service, well-maintained cars and a friendly, supportive team environment.
About the Role
You will be the face of the Link Drive brand — the first person our customers meet at the rental counter, on the phone and by email. The role combines front-desk reception with rental sales and customer care: you establish each customer’s rental needs, complete bookings and rental agreements, take payments, and support customers throughout their hire — from booking changes through to returns. You will also run the day-to-day administration of the office — keeping vehicle records and compliance paperwork current, processing incoming mail, and supporting invoicing and accounts. Full training on our procedures and systems is provided.
Key Responsibilities
Rental sales & customer service
- Reception & first contact — personally welcome customers at the counter with a friendly, professional greeting, and handle phone and email enquiries promptly and courteously.
- Customer needs & consultative selling — establish each customer’s car rental needs by actively listening; recommend the vehicle, add-ons and protection products that best suit them, using a consultative sales approach.
- Bookings & qualification — take booking requests across all channels (counter, phone, email and online); verify driver licence eligibility; obtain customer consent and complete the required credit check through our system; quote accurately and confirm bookings in a timely, efficient manner.
- Rental agreements & procedures — clearly communicate rental procedures, hire conditions and guidelines; prepare and complete rental agreements and handover paperwork with accuracy and attention to detail; outline and clarify final charges and obtain signatures.
- Payments & reconciliation — process hire, add-on and deposit payments; issue receipts; record every payment in the system; reconcile cash and card takings at the end of each shift.
- Sales performance — convert enquiries into confirmed bookings, meet personal sales targets while supporting the goals of the team, and apply pricing and discounts only as set in the company sales program.
- Handover coordination — confirm vehicles are ready to rent and coordinate pick-up and return with the operations team.
- Booking changes & cancellations — manage booking changes (extensions, date, vehicle, and driver changes), cancellations, and refunds in line with company policy; recalculate pricing and update the booking, agreement, and payment.
- Customer support during hire — be the first point of contact for customers during their hire, including breakdown and roadside events — always putting safety first — and incidents; resolve issues within authority or escalate to the Operations Manager; record every contact in the system and follow through on commitments.
- Complaint resolution — resolve customer complaints and concerns professionally and in a timely manner using effective customer service techniques, protecting the customer relationship and the company’s reputation.
- Administration & records — maintain accurate records, files and correspondence; complete daily back-office tasks such as handling emails and preparing reports; assist with general office administration as required.
Fleet & office administration
- Office operations — open and close the office; check power, internet, phones and equipment are working; resolve faults or arrange the supplier and inform the Operations Manager; keep the reception area clean and welcoming; monitor and order office supplies.
- Fleet records & compliance support — maintain the administrative file for each vehicle (purchase, registration, insurance, warranty and servicing); check the expiry tracker daily and start renewals — flagging anything due within 30 days to the Operations Manager so no document ever lapses.
- Mail & correspondence — receive, record, file and route incoming mail and email — including infringement notices, tolls, invoices and insurance correspondence; complete nominations transferring fines and tolls to the responsible renter and pass details on for recovery.
- Accounts & invoicing support — enter invoices, expenses and payment information into our systems accurately; prepare payment requests for the Operations Manager’s or Director’s approval; assist with receipting and reconciliations.
- Data entry, filing & records — perform accurate and timely data entry; maintain organised digital and paper filing systems and general office documentation.
Selection Criteria
Essential
- Excellent verbal and written English communication skills, with a professional phone manner and the ability to build rapport quickly with customers from all backgrounds.
- A minimum of 2 years’ experience in reception, front office or customer service roles — experience in car rental, automotive, travel, hospitality or retail is highly regarded.
- An outgoing, warm and positive personality — you greet every customer with a smile, genuinely enjoy helping people, and remain calm and courteous under pressure.
- Demonstrated sales ability — confident recommending products and services, overcoming objections and closing the sale while keeping the customer’s best interests in mind.
- Strong organisational skills and attention to detail, with the ability to multitask and accurately process agreements, payments and records in a fast-paced environment.
- Proven ability to follow procedures and adhere to company guidelines and standards, including cash handling, privacy and safety requirements.
- Confident computer skills, comfortable learning booking, payment and office systems (full training provided).
- Strong administrative and data-entry skills, with a high level of accuracy in record-keeping and filing, and proficiency in Microsoft Office (Outlook, Word and Excel).
- Proactive and eager to learn — you welcome training, take on new information quickly and show initiative.
- Availability to work on a rotational roster, which may include weekends and public holidays.
- Full Australian work rights.
Desirable
- A current full Australian driver licence.
- Experience with rental, reservation or CRM systems.
- Experience with Xero or similar accounting/invoicing software.
- A second language is an advantage in serving our diverse customer base.
What We Offer
- An hourly rate of $35.00, plus 12% superannuation — approximately $69,160 per year for full-time hours (38 hours/week), well above typical rates in the car rental industry. Part-time hours are paid at the same rate.
- Four weeks paid annual leave per year (pro rata) and all other leave and entitlements in accordance with the National Employment Standards and Australian law.
