What you'll do
As the Executive Support Officer, you will provide high-level administrative and clerical support to branch leaders, ensuring all activities align with Queensland Health's administrative policies. You will proactively manage all aspects of the branch leaders' office, including accurate and forward-planned diary management, coordination of travel arrangements, maintenance of contact lists and bring-up systems, and the preparation of written materials such as correspondence, briefs and reports. You will support branch staff to develop and implement improved internal processes, ensuring alignment with business planning, records management and financial requirements, and provide access to essential resources including templates, policies and governance frameworks. In this role, you will build and maintain effective working relationships through clear communication and consultation with QH ICT and healthcare professionals, undertake basic research and prepare reports to inform decision-making, and manage sensitive and confidential matters with professionalism. You will contribute positively to a collaborative, high-performing team culture focused on continuous improvement and achieving organisational objectives, while also providing support to the Senior Executive Support Officer and Branch Manager to deliver key branch outcomes.
About you
We are searching for someone who has:
Demonstrated ability to provide high-level administrative support to the office of a senior executive or executive group, ensuring efficient and effective operations
Advanced proficiency in a range of systems, including Microsoft Office (e.g. Word, Excel) and email platforms
Well-developed written communication and interpersonal skills, with the ability to liaise with a diverse range of stakeholders, including senior executives, managers and members of the public on sensitive matters
Ability to work with minimal supervision, manage competing priorities and meet deadlines, with a sound understanding of (or ability to quickly acquire knowledge of) Queensland Health's values and prior executive support experience highly regarded
