We’re looking for a proactive and detail-driven Procurement & Operations Support Coordinator to join our Operations team at MediAesthetics, a division of Wesfarmers Health, based in Sydney or Adelaide.
This is a fast-paced, hands-on role where you’ll support our clinic network and suppliers across procurement, inventory, customer service, and operational administration. About the Role
The Procurement & Operations Support Coordinator provides essential operational support across clinics and the support office.
You’ll be responsible for ensuring smooth procurement processes, accurate stock management, responsive customer service, and efficient administrative support — all while maintaining a strong focus on service quality and accuracy.
You’ll work closely with clinics, franchise partners, suppliers, finance, and operations teams to keep day-to-day operations running seamlessly.
Key Responsibilities
Customer Service & Clinic Support
- First point of contact for clinic and client enquiries via inbox, socials, and ticketing systems
- Respond to Google Reviews and client queries in a timely, professional manner
- Manage online order issues including missing orders, refunds, and transfers
- Support client account updates, password resets, and system requests
- Escalate complaints and feedback appropriately
Procurement & Inventory Management
- Process clinic orders for stock, equipment, consumables, and supplies
- Maintain accurate stock records, supplier agreements, and asset registers
- Monitor stock levels and support proactive ordering and demand planning
- Follow up on order issues including returns, damaged stock, and incomplete deliveries
- Assist with end-of-month stock reporting and analysis
Operations & Administration
- Create and manage purchase orders and invoices in internal systems
- Maintain process documentation and operational records (SharePoint)
- Support clinic consolidations, rebrands, and supplier changes
- Assist with device and equipment maintenance coordination
- Provide operational reporting including stock health and PO tracking
What You’ll Bring
- Experience in procurement, operations, administration, or purchasing support
- Strong attention to detail and high accuracy in data and systems work
- Excellent communication and customer service skills
- Confident use of Excel and business systems (ERP / CRM / inventory tools desirable)
- Ability to manage multiple priorities in a fast-paced environment
- Strong organisational and problem-solving skills
- A proactive, team-focused and solutions-driven mindset
