As a leader in chilled and frozen food storage and distribution, Sands Fridge Lines is seeking an experienced Fleet Admin Officer to join our growing Forrestfield operation.
This role is ideal for a safety-focused, detail-oriented Administrator who is confident working in a workshop environment and enjoys being part of a collaborative fleet maintenance team.
Key Responsibilities
Workshop Job Cards & Work Orders

Create and manage workshop job cards and service work orders

Schedule, record, and review vehicle servicing and maintenance

Ensure all fleet vehicles remain within service and compliance dates

Maintain accurate data entry and process invoicing

Liaise with Fleet Maintenance Managers to maximise vehicle uptime

Communicate job status updates, follow-ups, and delays to relevant stakeholders

Coordinate with suppliers and internal departments to ensure timely task completion

Apply problem-solving skills and attention to detail in daily operations
Defects & Pre-Trip Inspections

Collect pre-trip sheets and defect reports from the Operations Office

Sort documentation by Prime Movers, Rigids, and Pans

Scan and accurately file all pre-trip documentation
-
Enter defects into the defect register and monitor compliance

Escalate urgent defects to workshop management immediately

Link cleared defects to relevant job cards and file supporting paperwork
About You
-
Previous experience in fleet administration, fleet coordination, or transport administration

Exposure to fleet maintenance or asset management systems

Strong organisational skills with the ability to manage multiple priorities

High attention to detail with a strong focus on data accuracy

Confident communicator able to liaise with internal teams and external suppliers

Comfortable working in a workshop environment

Able to work under pressure and meet deadlines

Current Australian Driver’s Licence

Ability to obtain a National Police Clearance

Ability to pass a pre-employment medical
