The Project Officer plays an important role in supporting the planning, coordination and delivery of are-able's tenders, grants, government engagement activities and strategic projects.
Working across the organisation, you will provide high-quality project and administrative support to ensure submissions, stakeholder engagement initiatives and key organisational projects are delivered on time, to a high standard and in line with organisational priorities. This includes coordinating project activities, managing documentation and records, monitoring actions and timelines, supporting internal and external stakeholders, and contributing to the successful delivery of strategic initiatives.
The role is integral to maintaining consistency, quality and compliance across tender, grant and government engagement activities, helping to ensure are-able's submissions and strategic projects are well planned, accurate, responsive and aligned with our purpose and long-term objectives.
Key Accountabilities include:
- gathering information from service, finance, corporate and leadership teams
- maintaining project plans, action registers, meeting notes and stakeholder records
- helping coordinate site visits, meetings and engagement activities involving government representatives
- escalating risks, delays or missing information to the relevant manager or senior leader
- drafting, editing and formatting content for submissions, briefings and supporting documents
- communicating clearly with staff about deadlines, responsibilities and required input
- maintaining document control for submissions, templates, meeting notes and briefing materials
- identifying opportunities to improve workflows, templates and internal processes
You will bring strong project coordination skills, with the ability to manage timelines, actions, documentation and competing priorities effectively. You will be a clear and accurate writer, capable of preparing, editing and presenting well-structured content for tenders, grants, briefings, reports and stakeholder communications. A high level of attention to detail is essential, including the ability to follow submission requirements, verify information, maintain accurate records and identify issues that require escalation.
You will be confident gathering, organising and summarising information from a range of internal and external sources. You will also build effective working relationships with staff, managers, senior leaders and external stakeholders, communicating clearly about deadlines, responsibilities and required input. You will be comfortable using digital systems, including Microsoft Office, shared files and project tracking tools such as Trello, to support record-keeping, reporting and follow-up.
You will demonstrate sound judgement, professionalism and discretion when handling sensitive information, while working in a respectful, ethical and non-partisan manner that reflects are-able's purpose, values and commitment to inclusion.
Experience supporting tenders, grants, funding applications, submissions, project reporting, stakeholder engagement or government-related work will be highly regarded. Experience within a not-for-profit, disability, employment services, community services, training, youth or family services environment would also be beneficial.
A qualification in communications, business, project management, public policy, community services, administration or a related field will be highly regarded.
Relevant experience may be considered in place of formal qualifications.
