Key Responsibilities
- Manage and oversee daily office operations to ensure efficient administrative and business processes.
- Develop, implement and maintain office procedures, administrative systems and operational policies.
- Coordinate administrative activities across customer service, sales, installation and management functions.
- Manage business documentation, customer records, contracts, correspondence and electronic filing systems.
- Liaise with customers, suppliers, installers, contractors and internal team members.
- Coordinate meetings, appointments, staff schedules and management communications.
- Monitor customer enquiries, quotations, service requests and installation documentation.
- Assist with tracking customer orders, product deliveries, installations, approvals, invoices and operational timelines.
- Ensure administrative tasks are completed accurately and within required timeframes.
- Monitor office equipment, supplies, resources and facilities to support smooth business operations.
- Support recruitment, employee onboarding, staff records and general human resources administration.
- Assist management with budgeting, expense monitoring, operational reporting and business planning activities.
- Coordinate with accounts personnel regarding invoices, payments, supplier records and financial documentation.
- Prepare reports, business correspondence, meeting notes and internal documents as required.
- Maintain compliance with workplace policies, privacy obligations, safety requirements and company procedures.
- Review office and administrative processes and recommend improvements to increase efficiency and service quality.
- Handle confidential customer, employee and business information professionally and accurately.
- Supervise and support administrative staff and allocate office-related duties where required.
- Provide general administrative and operational support to the directors and management team.
Qualifications and Experience
- Diploma, Advanced Diploma, Bachelor’s degree or another relevant qualification in Business Administration, Management or a related discipline.
- Minimum 1–2 years of relevant experience in office administration, office management or a similar role.
- Previous experience within the renewable energy, solar, electrical, heating and cooling, construction or related service industry will be highly regarded.
- Strong organisational, planning, coordination and problem-solving skills.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to communicate professionally with customers, suppliers, contractors and employees.
- Strong attention to detail and the ability to maintain accurate records and documentation.
- Proficiency in Microsoft Office Suite and general business management systems.
- Ability to work independently, supervise administrative functions and support management decision-making.
- Sound understanding of office procedures, customer service processes and general business operations.
- Ability to handle confidential and sensitive information with professionalism and discretion.
